Polls & Surveys

Learn how to create, launch and manage polls and surveys to gather feedback from your people.

Understanding how your team feels is the key to building a thriving workplace. The polls and surveys feature lets you launch custom check-ins, keep data private, and see real-time workplace sentiment.

This feature is available on the Regular plan and above.

You'll find it on the left-hand menu by clicking Polls & surveys under the MY COMPANY section.

(Note: You'll also see My Polls & Surveys listed under your profile navigation above this is where employees go to complete check-ins sent to them, which we'll cover later in this guide).

Selecting this option takes you to the main screen, where you can see your active check-ins and high-level statistics.

To start a new poll or survey, click the blue Create new button in the top right-hand corner. You can then choose a Poll for a single question, or a Survey for multiple questions.

Once you make your choice, a pop-up window appears with the option to start from scratch or use a template. Choosing to Create from scratch takes you into a blank creation wizard, while selecting a template opens the wizard with pre-populated questions.

Once you have made your choice, click the blue Create poll button:


Using templates

If you don't want to build your poll or survey from scratch, you can choose from a library of pre-built templates designed around common workplace scenarios (such as employee engagement, learning & development needs, or AI readiness).

Pre-populated questions: Selecting a template automatically loads professionally written questions into your builder.

Fully customisable: Once the template loads, you can still edit the question text, delete questions you don't need, re-order the questions, or drag in additional custom question types just like you would when starting from scratch.


Creating a poll or survey

Whether you start from scratch or use a template, your selection opens the question wizard.

Give your check-in a title and a description, then drag your chosen question types into the Build your poll or Build your survey box.

If you are creating a survey, you can build out multiple items by dragging up to 20 questions into the Build your survey box.

You can also easily re-order your questions at any stage. Simply click and hold the six-dot grabber on the left side of any question block, then drag and drop it into your preferred order.


Required questions

When building out your check-in, you can configure whether questions are mandatory:

  • Polls: Because a poll is just a single question, answering it is automatically required for the employee to submit.

  • Surveys: For multi-question surveys, you can choose whether an item is mandatory by toggling the Required setting.

    When enabled, the employee must provide an answer to that specific question before they can successfully submit the survey.


Question types and Survey elements

Whichever check-in type you choose, you can select from these elements:

  • Short text: Best for brief answers up to 255 characters.

  • Yes / No: A simple binary choice. Allows for the 'Allow additional comment' setting.

  • Rating scale: Teammates select a score from 1–5 or 1–10. You can customise the labels for the lowest and highest points and enable the 'Allow additional comments' setting.

  • Emoji rating: A visual way to track satisfaction. Allows for the 'Allow additional comment' setting.

  • Long text: Best for detailed feedback up to 2,500 characters.

  • Multiple choice: Teammates choose from a list. You can configure this type to Allow multiple selections, add an 'Other' option, and 'Allow additional comment' setting.

  • Heading / Description: A survey-only option that lets you add an extra heading and description block to structure your questions.

Note on Additional Comments: For Yes / No, Rating Scale, Emoji Rating, and Multiple Choice, enabling the Allow additional comment setting adds a text box under the question so employees can back up their answers with extra context (up to 255 characters).

Once you drag a question type into the box, type your text into the Question text field. You can also add optional help text if you want to give your team some extra guidance and also allow for an additional comment.

If you change your mind, you can click a different question type on the screen to switch it instantly. The question form will adapt to the new question type selected.

You can also click the red Delete Question button to start again.

Click Save Draft in the top right-hand corner at any time if you wish to come back to complete it later.

You will be given the option to exit the wizard or continue.

When you return to the main screen, your draft will be waiting for you in your list and you will see the status as Draft. Click it to carry on editing.

When creating your poll or survey, click Preview at any stage to see exactly how the question will look to your team.


Configuring your settings

Once ready click the Next button in the bottom right-hand corner

(You can also go back if needed with the <-Back: Questions button)

On the next screen (Step 2 Configuration), you can update your title and description if needed.

You will then set up how your check-in runs.

The Poll and Survey Window

Choose the dates you want your check-in to open and close.

You can also toggle Hide responses until closed if you don't want to see any results until the window finishes.

Audience

Choose who needs to fill out the check-in. You can't change this once it goes live.

  • Everyone within the company: This sends the check-in to all staff. If a new starter joins while it is open, they will automatically get invited to answer it.

  • Selected audience only: This lets you target a specific audience based on permission type, department, division, location, or specific people.

Anonymity

Choose what information you want to collect. You can't change this setting once the poll or survey is live.

  • Anonymous toggled on: No identifiable information will be shared when viewing responses. Employee data is completely hidden within your account reports to ensure total feedback privacy.

  • Anonymous toggled off: You can choose to capture the name, department, division, and/or location of the respondent, and you will be able to see this specific information when viewing the responses.

When your settings are ready, click Next: Preview & publish.

Reviewing and publishing

The Review & publish screen acts as a final check for your questions and settings. The system automatically detects your chosen start date and adjusts the action button dynamically.

Publishing Immediately

If your start date is set to today, the action button will display as Publish.

Clicking this brings up a confirmation pop-up.

Since you can only change the end date after a check-in goes live, ensure everything is correct before confirming.

Scheduling for a Future Date

If you selected a future start date during the configuration step, the action button will display as Schedule. Your check-in will sit in a Scheduled status and automatically launch on your chosen date.

Clicking this brings up a specific scheduling confirmation pop-up.

Note: Scheduled polls and surveys can be fully edited at any time before their launch date.


Answering a poll or survey

When you are sent a poll or survey, you'll get an email notification containing the title, the closing date, and a link taking you to your My Polls & Surveys dashboard.

You can also access your Polls & Surveys at any time by navigating to My Polls & Surveys on the left-hand menu under PROFILE.

Your My Polls & Surveys dashboard

The dashboard displays card tiles for any outstanding, live polls or surveys assigned to you that are either Not started or In progress. Each tile highlights key details at a glance.

A Scheduled survey will appear on this screen on its scheduled start date.

Note: A completed poll or survey will not be shown here.

  • Type badge: Clearly marks the item as either a Poll or a Survey.

  • Status tag: Displays your current progress, showing either Not started or In progress (if you have partially answered a survey and selected 'Save draft' to finish it later).

  • Title: The name of the specific poll or survey.

  • Closing date: The deadline for submitting your responses.

Note: If you have no outstanding items to complete, the screen will display the message: "There are currently no open polls or surveys."

Completing an outstanding item

To answer a poll or survey:

  1. Click directly on the poll or survey tile to open it.

  2. Answer the questions provided. Note: Employees will see a clear indicator regarding the anonymity settings of the check-in while completing the questions.

  3. Click Submit in the top right-hand corner to finalise and record your scores. Before submitting, a final confirmation will remind you whether your responses are anonymous or identifiable.

Required vs. optional questions

  • Required Questions: If any questions are mandatory and you click submit before completing them, the outstanding question text turns red, showing you've got to answer these remaining questions before you can submit.

  • Optional Questions: If the questions aren't marked as required, clicking submit will immediately end the survey and successfully record your entries.

Saving a Draft and leaving mid-way

Using the 'Save draft' button: You can click the dedicated Save draft button located right next to the Submit button. This instantly saves your responses and updates the tile's status tag on your dashboard to In progress so you can finish it later.

Alternatively, if you are mid-way through answering a survey and navigate away from the page (e.g., clicking to another feature in the left-hand menu), a Do you want to exit? pop-up will appear to protect your progress.

From this pop-up, you must choose to either Save draft (to save your progress and change the tile status to In Progress) or Discard Answers (which wipes your current entries completely and exits).


Managing your check-ins

The Admin and any HR users can manage everything from the main Polls & surveys screen under My company on the left-hand menu.

Your dashboard provides a quick high-level overview of your activity through four metric tiles at the top:

  • Active Polls & Surveys: The total number of currently live check-ins.

  • Scheduled Polls & Surveys: Check-ins that are set up and waiting for their upcoming start date.

  • Closed Polls & Surveys: Past check-ins that have reached their end date.

  • Average Response Rate: The overall participation percentage across your sent polls and surveys.

Below these tiles, your dashboard displays a detailed list of all your check-ins. You can sort this list by clicking the column headings (such as Status or Title), or use the search bar and filters to find specific items by status, type, or date range.

The list shows you:

  • Status (such as Draft, Active, Scheduled, or Closed)

  • Title

  • Type (Poll or Survey)

  • Completed (How many people have completed it)

  • Sent to (How many people it was sent to)

  • Start Date and End Date

Clicking the three dots next to any poll or survey gives you a few quick options. From here, you can edit, duplicate, or delete your check-in. You can also use this menu to send a quick reminder to anyone who hasn't answered yet.

Status types

  • Draft: The poll or survey has been created and saved as a draft.

  • Scheduled: The poll or survey is ready and will automatically launch on its start date.

  • Active: The poll or survey is open and live.

  • Closed: The poll or survey's end date has been met and it's no longer open.

When you click into any individual poll or survey, you will also see these management buttons in the top-right corner:

  1. Edit:

    • Draft & Scheduled: Edit questions, settings, and launch details at any time.

    • Active & Closed: You can only edit the end date (to extend or reopen it).

  2. Duplicate: Copies the questions and settings to quickly start a new check-in.

  3. Preview: Shows exactly how the check-in will appear to employees.

  4. Delete:

    • Draft & Scheduled: Deletes the check-in completely.

    • Active & Closed: ⚠️ Warning: Deleting an active or closed check-in permanently removes all collected response data.

Viewing check-in responses

To view the results and tracking data for an active or closed check-in, click on the specific poll or survey from your main dashboard list, then select the Responses tab.

At the top of this screen, you will see four summary tiles detailing your real-time engagement stats:

  • Sent to: The total number of employees who received the check-in.

  • Completed: The number of people who have submitted their answers.

  • Response rate: The current percentage of completion based on your audience size.

  • Time remaining: A live countdown showing how long is left before the check-in automatically closes.

Below these statistics, you will find a visual breakdown of the data collected so far, including dynamic charts mapping out the specific answers for each question.

You can also select the Individual Responses tab. This will show each individual response, while keeping the data confidential if the anonymity settings are in place.

Filtering Results

Using the Filter button in the top-right corner, you can filter your results by department, division, and location. These options adapt dynamically based on your anonymity settings:

  • Completely Anonymous: If anonymity was toggled on, no filter options will appear since respondent metadata is hidden to protect privacy.

  • Partially Anonymous / Toggled off: You will only be able to filter the data by the specific fields you chose to capture. For example, if you only opted to capture departments, then department will be your only available filter option.

Exporting Data and Reminders

From the top-right corner of this tab, you can use the Send reminder button to nudge pending participants.

You can also click Download at any time to export a CSV file of the responses, you do not have to wait for the poll or survey to close to do this.

The exported spreadsheet will protect employee privacy by dynamically matching the anonymity settings you configured:

  1. Completely Anonymous: Responses are completely stripped of personal details. They are displayed anonymously so you can see the individual breakdowns without any identifying metadata.

  2. Partially Anonymous / Toggled Off: The export will only reveal the respondent information you explicitly chose to capture (such as name, department, division, and/or location).
