Setting up the Timeclock in Rota, Time & Attendance

Let your team clock in and out from a shared tablet using their name and a PIN.

Written by Bianca Brace

This guide is for Admin and HR users.

A Timeclock could be a shared tablet your team uses to clock in and out with their name and a PIN.

Included in this guide:

1. Finding the Timeclock settings

Go to Rota, Time & Attendance > Settings > Timeclock.

The page has three tabs: Paired devices, People and Settings.

šŸ’” Please note: you'll only see Timeclock if your account mode includes Time & Attendance.

2. Pairing a device

  1. Click Set up a Timeclock.

  2. Choose the Location the device is for. A QR code, a web address and a pairing code appear.

  3. On the device, scan the QR code with its camera, or open the web address in its browser.

  4. If you opened the web address, enter the code in Pairing code and click Pair device.

āš ļø Each code works once and lasts 15 minutes. If it runs out, click Regenerate for a new one.

šŸ’” Please note: if the device is signed in to Breathe, you'll see This device is signed in. Click Clear this device to sign it out and carry on.

3. Setting up the tablet

The Timeclock runs in the tablet's web browser. To keep it working:

  • Keep it plugged in, and set the screen so it never goes to sleep.

  • Don't use a private or incognito window.

  • Don't clear the browser's data, as this unpairs the tablet.

  • Don't sign in to Breathe on it.

  • If you'd like, lock the tablet to one app. For example, with Guided Access on an iPad or app pinning on Android.

4. Giving your team a PIN

Everyone needs a four-digit PIN to use the Timeclock. Go to the People tab.

  1. Find the person.

  2. Click Generate PIN, or Reset PIN if they already have one.

  3. Share the PIN with them, then click Done.

šŸ’” Please note: the PIN is only shown once. If you close it before sharing, reset it again.

Employees can also set or change their own PIN:

  • In Breathe: go to Profile > My shifts from left-hand menu and click Set a PIN, or Change my PIN if they already have one. They don't need their old PIN.

  • On the Timeclock: after entering their PIN, tap Change my PIN at the bottom of the screen. They'll need to enter their current PIN first.

In Breathe:

On the Timeclock:

āš ļø Important: If someone enters the wrong PIN 3 times, they're locked out for 15 minutes. To let them in sooner, an Admin or HR user can reset their PIN.

5. Managing paired devices

The Paired devices tab shows each Timeclock, its location and when it was last online.

To switch a tablet off, for example if it's lost or replaced:

  1. Click Revoke next to the device.

  2. Click Revoke device to confirm.

The tablet stops working straight away. To use it again, pair it with a new code.

šŸ’” Please note: a tablet that hasn't connected for 30 days stops working and needs pairing again.

6. Using the Timeclock

  1. Find your name, or type it into Search your name…

2. Enter your PIN.

3. Tap Clock In.

4. You'll see Clocked in. The Timeclock goes back to the name list after a few seconds, or you can tap Done.

To take a break or clock out, find your name and enter your PIN again. You'll see a timer showing how long you've been clocked in, with Start Break and Clock Out buttons. When you're on a break, tap End Break to carry on.

šŸ’” Please note: if you're not on the rota today, you may still be able to clock in by tapping Clock in without a shift, if your company allows it.

āš ļø Important: if you try to clock in too early, you'll see a message asking you to clock in closer to your shift start. How early you can clock in depends on the clock-in window in Settings > Clock-in & capture.

šŸ’” Good to know: for more, see Clocking in and out.

FAQs

Q) Someone has forgotten their PIN. What should they do?

A) They can set a new one from Profile > My shifts in the left-hand menu without their old PIN. Or an Admin or HR user can click Reset PIN on the People tab.

Q) Why isn't someone's name on the Timeclock?

A) The Timeclock only lists people assigned to its location. Check Rota, Time & Attendance > Settings > People list.

Q) The tablet says "This device isn't paired". What happened?

A) It's been revoked, hasn't connected for 30 days, or its browser data was cleared. Pair it again with a new code.

Q) Can two people have the same PIN?

A) Yes. Everyone picks their name first, so the Timeclock knows who it's checking.

Q) Can I get an email if a Timeclock goes offline?

A) Yes. Admin users can turn on the Kiosk device offline email in Settings > Email notifications.
