How to transfer your people's data into Breathe from an external source

While there's no direct way to import data from an external source into Breathe, there's a process you can follow to do this smoothly using the Data Import feature.

Here's a step-by-step guide to show you how.

  1. Navigate to People > Data > Imports and select 'Add New People'

There are two templates you can choose from when uploading your people via the Add New People menu - 'basic employee template' or 'full employee template'. Click on the highlighted light blue text to download the spreadsheet.

Both will have mandatory fields highlighted in red:

  • Email address

  • First name

  • Last name

  • Join date

  • Person type (Employee, Contractor, Volunteer)

Please note: The date format must be DD/MM/YYYY, DD-MM-YYYY or DD.MM.YYYY

These need to be filled out correctly for a successful upload.

The 'Import people basic' is a great way to get your people into Breathe (and they can fill out the rest of their profile themselves, reducing your HR admin).

The 'full employee template' is a more comprehensive template with additional fields for further information to populate your peoples profiles.

TIP: You need to use the template downloaded from here to import your data (rather than a version saved on your computer). Your data upload will not be successful otherwise.

2. Once you'll filled in all the necessary information within the downloaded template, you can go ahead with the data upload.

Important info:

  • An email address can only exist in the Breathe system once, so once you're confident that you've exported all data for that person from the old account, you’ll need to either delete them (bin icon) or change their email address slightly (eg; from name@yourcompany.com to Xname@yourcompany.com) so that the new account will accept their email address. (This only needs to be done if you still have the account you are migrating from active at the time of the data import.)

  • Make sure you've downloaded the most up-to-date import/export template. This can be downloaded from People > Data > Import > Add new people

  • Compulsory fields are marked by a red asterix. These need to be filled in order for the data upload to be successful.

  • Don't edit the titles of the columns as the upload will be unsuccessful.
