How to migrate data between 2 Breathe accounts

A how-to guide to help you move people-data from one account to another using the data upload tool.

Whilst there's currently no way of directly migrating data from one Breathe account to another, there's a simple process you can follow to move your data across quickly & easily.

We've put together a step-by-step guide to show you how.

Step 1: Export your data

Before closing your original Breathe account, you'll need to perform a People Data Export. This will package up all of your data within this account ready to import into your second Breathe account, eliminating any manual work.

This export will contain all the relevant personal information of your employees (name, email, join date, job title, length of service, etc.).

TIP: We recommend you also download reports for holiday, sickness etc. too as these can't be imported into your new Breathe account using the data upload tool. You'll need to add this information to your new account when it's up and running.

Step 2: Import your data into Breathe

Once you've set up all the picklists in your new Breathe account (departments, notice periods, gender types, etc.), you're ready to import your people. You can do this using the Import New People CSV. Please note that this is different to the Export CSV as they serve different purposes.

To see the upload choices, go to People > Data > manage Data Uploads > (+)

Important info

  • If you're consolidating 2 accounts, this is fine as long as the overall person count does not exceed 250.

  • An email address can only exist in Breathe once, so once you're confident that you've exported all data for that person from the old account, you’ll need to either delete them (bin icon) or change their email address slightly (eg; from name@yourcompany.com to Xname@yourcompany.com) so that the new account will accept the real email address. This only needs to be done if you still have the account you are migrating from active at the time of the data import.

  • Make sure that you have the most up-to-date import/export template. This can be downloaded from People > Data > manage data uploads > (+)
