This guide is for Admin users, HR users & line managers
How does this feature work?
The tasks module simplifies the process of creating tasks for your people and streamlines task assignments across your business.
This renaming reflects an enhancement to support additional uses beyond onboarding, including offboarding and general task management.
In this guide, you'll learn how to effectively utilise this feature.
The tasks module allows you to create customised tasks and assign them to employees.
Enabling the tasks module
To enable this module, follow these steps within your Breathe subscription: Configure > Settings > Modules > Included modules > Tasks and Workflows.
You can add a department tag against a task to make it easier to categorise and assign onboarding tasks by department.
Creating tasks
Before assigning tasks, you'll need to create your own custom tasks by going to: Company > tasks > +
Assigning tasks to your people
Once you've created a task, it's time to assign it to your team members. Here's how:
Go to the profile of the person you want to assign the task to.
Select More > tasks > +
Choose the task from the 'task' drop-down menu.
Specify who should complete the task: the employee, their line manager, or a member of the HR team. (This specification is now required as part of the expanded functionality)
Set the due date and click 'assign task.'
The task will appear on the employee's dashboard for completion. If they have daily email notifications turned on, the task will also appear in the email.
You can also bulk assign tasks to an employee by following the steps in the guide below:
If you're unable to locate your tasks:
Ensure that the 'Tasks and Workflows' module is enabled
Look for tasks under the Company tab or within employee profiles under the More tab
Adding a Document to a task
To add a document to a task click on the + icon to the right-hand side of the Attached document header in the task details page...
Please note that only Admin and HR users can add documents to tasks. Line managers are not able to do this.
What happens next?
Once a task is assigned, it will appear on the employee's personal dashboard as a task to complete. Line managers and HR team members will find their assigned tasks on their respective dashboards for review and completion.
Reviewing & approving completed tasks
When tasks are completed, they'll appear on the line manager's dashboard for review and approval. Line managers can view task details and mark tasks as complete.
Reporting
Within the reports section, you can pull a useful report of all tasks that have been completed. This can be found by going to Reports > People records > tasks.
