How to manage multiple payment methods to one invoice

Brindlechute lets you customize how payments are collected after a booking is confirmed—whether you're splitting amounts between clients, combining online and offline payments, or handling follow-up balances. This workflow is designed only for confirmed bookings where the initial deposit has already been paid.

Collecting from someone else doesn't change who the booking belongs to. The booking client stays the same, keeps the messages, and keeps the portal. If the booking itself should move to a different person, see How to Change the Booking Client on a Booking.

Before you start: if the client paid a deposit, Brindlechute may have auto-scheduled the remaining balance. A scheduled payment locks in the original payment method. To collect that balance a different way — a second card, a check, or from a different client — cancel the scheduled payment on the Audit trail tab, under the Payments filter, first. 1. Accessing the Invoice for a Confirmed Booking

To begin:

  1. Navigate to the Bookings tab.

  2. Open a confirmed booking (i.e. one where the deposit has been paid).

  3. Go to the Invoice section.

  4. Click into the Payment Summary area.


2. Collecting a Payment (Partial or Full)

From the Payment Summary, click Collect Payment to:

  • Enter the payment amount (you can choose any remaining balance or partial payment).

  • Select a payment method:

    • Card (from a stored method or entered manually)

    • ACH

    • Custom Offline Method (such as Venmo, check, or cash—configurable in your Fee Settings)

  • Choose the client to charge. Participants on the booking appear in the dropdown, and you can search for any client in your system.

Example: If one client paid the deposit with a card, but the second client wants to cover the remaining balance with a check, you can assign each payment individually.


3. Managing Multiple Clients and Stored Payment Methods

Brindlechute associates payment methods directly with individual clients:

  • Stored cards and ACH details are tied to the specific client who entered them.

  • When collecting payment, you can:

    • Use any stored method linked to that client.

    • Enter a new method.

    • Choose an internal-only custom offline option.

This is especially helpful when managing group trips, couples, or corporate sponsors covering part of the balance.


4. Supporting Split Payments and Mixed Methods

This workflow allows outfitters to:

  • Collect balances from multiple clients on the same booking

  • Accept different payment methods per payment (e.g. card + check)

  • Manually configure how and when payments are applied after the deposit

You can support any mix of deposit + balance, online + offline, and client-by-client customization as long as the booking is already confirmed.


5. What the Client Can Do vs. What You Collect

Some of this the client can handle from their own invoice, and some of it only you can do.

The client can, from their invoice:

  • Choose a payment plan — pay in full, deposit only, or deposit plus a scheduled balance

  • Select Card or Bank

  • Pick a saved card or click Add card

  • Use a different card for the deposit and the balance, since the card is selected per payment

Only you can:

  • Split a single payment across more than one method

  • Enter an arbitrary partial amount rather than the preset plan options

  • Apply offline or custom methods such as cash, check, or Venmo

  • Assign a payment to a different client on the booking

Once the balance is scheduled, the client’s invoice becomes read-only. The payment method options and Add card button no longer appear, so the client cannot switch cards on their own. Cancel the scheduled payment and resend the invoice to reopen those controls — see How to update a client’s card on a scheduled charge.


6. Tips for Transparency and Record-Keeping

  • Use the Invoice Notes field to record details (e.g. “John will Venmo remaining $200 by June 15”).

  • Hidden payment methods are only visible to your internal team—clients will not see them during online checkout.


Summary

Once a booking is confirmed and the deposit is paid, you can:

  • Apply multiple payments to the invoice using different methods

  • Assign payments to different clients

  • Combine online and offline methods

  • Retain full visibility on how, when, and from whom you’re collecting the remaining balance

Keep in mind: Collect Payment applies once the trip is confirmed and the deposit has been received. If a scheduled payment is covering the remaining balance, cancel it on the Audit trail tab, under the Payments filter, before collecting that balance another way.
