Trip management tools and tips

This article walks through the core tools available in Brindlechute to manage an active trip.

Review Trip Info

  • See the booking client's name, email, and phone.

  • Use Info for full client details including client AI summary. If your org uses pre-confirmation tasks, a Complete tasks button appears so you can clear outstanding client tasks`.

  • Use the Notes field for allergies, special needs, and similar details.

  • Check Total amount paid, which shows an Overdue flag when a balance is outstanding.


Manage Guides

  • Guide slots show assigned vs. unassigned, with the Lead Guide marked.

  • Use the Section dropdown if you track river section usage.

  • See each guide's payment status at a glance (such as Not paid).

  • Report status

    • Incomplete (gray): submit for the guide or notify them.

    • Submitted (green): click to review.

  • Info (guide contact), Submit report (complete the guide's report on their behalf), Add note (a day-specific note for the assigned guide, hidden from clients), Time & duration (set trip time and meet-up time), and Tags (trip unit tags).

  • Use Batch assignment (top) to assign guides across multiple days at once.


Manage Clients and Documents

  • See client spots (such as 1/2), and use Request docs from all clients to request from everyone at once.

  • Per client: Complete task, Itinerary (view or share), and Reminder (nudge the client). An Incomplete flag shows outstanding tasks.

  • Use Invite party to add party members, or Select a client to add an existing client.


Set the Meetup Location and Time

  • Add or update the meet-up location. The experience default is labeled Default, with the full address below.

  • Google Maps opens directions to the meetup point.

  • Set the group meet-up time from Time & duration in the Guides section.

The meetup location comes from the experience's default and applies to every trip booked under that experience—see Assigning Meetup Locations to Experiences. To change it for one trip only, see Changing the Meetup Location for a Single Trip.


Use the Itinerary and Checklists

  • The Itinerary panel summarizes the trip by calendar and activity days, with each day's experience, guide count, and client count.

  • The Checklists panel tracks prep tasks grouped by timing (such as 1 day before / day of trip). Assign each to a teammate, mark it complete, or add a task. For full setup, see How to use checklists for trips.
