Steps to Add a Client
Navigate to the Clients Section
On the left-hand side of your screen, click on "Clients" to open the Clients management page.Add a New Client
On the Clients page, click the "Add Client" button. This will open a form where you can enter your client's details.
You can also open this same form while building a booking — click into the Client field and choose to add a new client from there.Complete the Client Information Form
Fill out the following fields for each client you wish to add:First Name (Required)
Last Name (Required)
Email Address (Ideally at least one person per trip — see below if a client doesn't have one)
Additional Emails (Optional — click + Add email to save further addresses for the same client. See How to Add Multiple Email Addresses to a Client)
Phone Number
Address
Additional Notes (Any other details you'd like to record about this client)
Required Information
Please note that it is mandatory to provide a first and last name for every client. Ideally, at least one person on each trip also has a valid email address on file — that's how invoices, confirmations, and payment reminders reach your clients.
In the rare case where a client truly can't provide an email, you can still send their invoice or booking confirmation by text message. If the Email Matches an Existing Client
As you type an email into the Add a Client form, Brindlechute checks whether it's already associated with another client. The check covers every address on your existing clients — main and additional alike — so a match surfaces even when the address you entered is saved as someone's additional email. If it finds a match, a card appears showing that client's name, status, a View profile link, their email, phone, SMS subscription status, and a Returning client tag — so you know exactly who you'd otherwise be duplicating.
The action button on that card depends on where you opened the form:
Adding a client while building a booking shows Select this client — assigns the existing client to the booking instead of creating a duplicate.
Adding a client from the Clients tab directly shows Edit this client — takes you to the existing client's profile so you can update their details instead.
Why This is Important
Having accurate and complete client records ensures smooth communication and better service. It also helps streamline the booking and management process because, once a client’s waivers and documents are completed, they will have a permanent profile in the system. This profile keeps all of their information securely stored, making future rebookings quick and hassle-free — no need to re-enter their details each time. Checking for duplicate emails as you add a client keeps that profile history clean and avoids splitting one client's records across two accounts.
