Adding Notes to a Canceled Booking

Notes stay editable after cancellation, so you can record why a trip didn't go forward and keep that context on the booking.

A canceled booking tells you the trip ended, not why. Weeks later — when a client calls back to rebook, or the booking turns up in a season review — that missing context is usually the thing you need most.

All three notes sections stay editable after a booking is canceled, so you can leave the story on the booking itself.


How to Add a Note After Cancellation

  • Go to Bookings.

  • Open the Canceled tab.

  • Select the canceled booking you want to annotate.

  • At the top of the booking, click Edit Notes.

  • Add or update the note you need, then save.


Which Notes Section to Use

  • Private Notes – Internal only. Best for the cancellation reason itself, such as weather, a client no-show, low water, a double-booking, or an agreed reschedule.

  • Client Notes – Visible to the client.

  • Guide Notes – Visible to the assigned guide.

Important: Canceling a trip does not close the client portal. The client who made the booking can still open it and will still see Client Notes there, including anything you add after the cancellation. Keep internal reasoning — pricing decisions, no-show history, staffing problems — in Private Notes.

Tip: Include the date and who made the call. "Client canceled 6/12 — family emergency, asked to rebook in fall" gives you far more later than "canceled."
