Note: We recommend only canceling unpaid trips unless you're ready to issue a refund or have already issued one. If you have not refunded a trip and hit cancel, it will give you the option to execute both at once.
Step 1: Open the Booking
You can locate the booking from:
Bookings tab – Search for the client’s booking and open it directly.
Trip Calendar – Click the trip, then select Manage Booking to open the full booking details.
Step 2: Cancel the Trip
Scroll to the Payment Summary section.
Click the red Cancel or Refund in the bottom-left.
Choose Cancel. The Confirm Cancellation window opens, showing your cancellation policies and a Refund detail section.
To cancel without refunding, leave Amount to refund at $0. To cancel and refund in one step, enter the refund amount. Brindlechute displays a suggested refund based on the total amount paid less fees.
If the booking has scheduled automatic charges, a warning lists the charges that will be canceled.
For confirmed bookings, the window includes a "Don't send cancellation email" checkbox — leave it unchecked to notify the client, or check it to cancel quietly.
Click Confirm cancellation & Refund.
What Happens Next:
The trip is removed or deleted from your calendar.
The trip is marked as canceled in your bookings tab.
No refund is issued unless you add one.
Any scheduled automatic charges for the booking are canceled.
For confirmed bookings, the client receives a cancellation notice unless you checked "Don't send cancellation email." Canceling a draft booking never sends a client notification.
The action is logged in the communication history.
If a guide report was submitted it will be deleted.
Notes stay editable. You can still add or update Client Notes, Private Notes, and Guide Notes after the booking is canceled.
