When you book a fixed-day experience, the Itinerary builder shows Group details under the experience instead of Per-unit details. A group is one party that a single guide takes on each day of the trip. Its size is capped at the experience's Clients per Guide setting. When you enter more people than one group can hold, Brindlechute splits them into groups automatically.
Where to Find Group Details
In the Itinerary builder, under the experience's name.
Creating a new booking: Group details opens automatically once you've set the number of persons and the dates in the date window and clicked Select.
An existing booking: Click Bookings in the left sidebar, select the booking, then click Manage booking in the pop-up. Click Edit (top right), then click Group details under the experience's name.
Each group appears as its own card, labeled Group 1, Group 2, and so on. Controls on the experience row apply to the whole experience. Controls on a group card apply only to that group.
What's on a Group Card
Persons — Use the +/- buttons to set the group's party size. It can't go above the experience's Clients per Guide setting, and the price updates as you change it.
Dates — The group's activity dates, with the buffer-day range underneath when the experience has buffer days. Click the dates to change them. To run the trip over a longer range, see Stretch a Fixed-Day Experience Across More Days.
Price — The group's total and per-person price. Click the total to override it. See How to Override Prices on a Booking.
Copy icon — Adds another group with the same setup.
X — Removes the group. It only appears when the experience has more than one group.
When You First Set the Number of Persons
When you set Persons in the date window and click Select, Brindlechute creates as many groups as the party needs, splitting people as evenly as possible. For example, 5 people on an experience set to 4 clients per guide become a group of 3 and a group of 2.
Add People to an Existing Booking
When a client lets you know extra people are coming:
Open the booking — Click Bookings in the left sidebar, select the booking, then click Manage booking in the pop-up. Click Edit (top right), then click Group details.
If a group has room, raise its Persons, up to the Clients per Guide limit.
If every group is full, click the copy icon on a group card to add another group.
Set the new group's Persons to the number of extra clients.
Assign a guide for each day in the new group's daily table.
Click Save.
For example, on an experience set to 4 clients per guide, a booking with groups of 3 and 2 has room for 3 more people before you need a new group.
The Daily Table
Each activity day in the group gets its own row:
Date — The activity day.
Persons — Read-only. It always matches the group's party size, since every day of the trip carries the same group. To change it, use the group's Persons buttons.
Guides — Shows AI-assigned (marked with a sparkle icon) when Guide Priority and Assignment is turned on for your organization. Click the field to choose a specific guide, or click Clear to leave the day Unassigned.
Note icon — Add a note that only that day's guide will see. It appears to them in the Guide App under Trip notes from outfitter.
Requested — Check this box when the client specifically asked for this guide. See How to create a Booking with a requested guide.
Section — Assign a section or location. Defaults to Unassigned.
Time & duration — Shows All day or the scheduled time. Click it to adjust.
Price — That day's share of the group price.
On a new booking, guide and section assignments aren't final until the booking is confirmed.
Remove a Group
A group's X only appears when there's more than one group, so the last group can't be removed on its own. To remove it, remove the whole experience with the X on the experience row.
When You'll See Per-Unit Details Instead
Flexible-day experiences, and bookings made before groups were introduced, use Per-unit details, where you set persons for each unit and click Add unit to take more people. One itinerary can contain both. See Understanding Per-Unit Details When Creating or Editing a Booking.
