How to use the different types of gift cards on the backoffice

Learn how to pay with a gift card as a staff on the back office

You may have encountered the situation when a client comes up to you, telling you that they have a gift card they want to use to purchase an item. In this situation, you may have different ways to do so depending on the type of gift cards.

Bill the item

First, you want to bill the item the member wants to purchase. Once this is done, you should have access to the invoice to pay.

  • Click on "Payment by gift card."

  • If the member already has an e-giftcard activated it should appear here

If nothing appears or the right gift card is not displayed, let's see which steps to take to solve the situation.

Printable gift card with code

The first situation here is: your member has received a code to activate their gift card. This is what we call a printable gift card with a code.

In this case, they should have been given the code by the buyer of the gift card (through a message or a printed PDF like this one).

  • In this case, go to the corresponding invoice and click on "Payment by gift card".

  • Then enter the gift card code and click on "Add"

  • Gift card should be added and you can now use it

  • You may have the following message. Meaning that this gift card has already been activated on another account, already has been fully used or the code is erroneous.

  • If the member already has some gift cards activated, click on "Add a giftcard" and follow the same steps

Digital gift card with activation link

Second situation: your member has received an email indicating to activate their gift card online. This is a digital giftcard or e-giftcard.

In this situation only the member will be able to activate their gift card. They will have to do it on their phone by clicking on the link in the email received.

They can follow the steps indicated in this helpsheet.

Once this is done, go back to the invoice, and the gift card should now appear in the list of usable gift cards.

My member doesn't know which type of gift card they received

In this case, the key information is: who bought and offered them the gift card? Without this information, it will not be possible to go further.

  • Once you have this information, search the corresponding member

  • On their profile, go to the "Gift card" tab

  • Here, there should be at least one gift card appearing in the "Purchased Gift Cards" section

  • If the gift card looks like this:

    • This is a printable gift card with code

      • Check that the name of the recipients corresponds to the name of the person in front of you

      • Once done, click on the paper clip icon

      • Then copy the code and follow the steps indicated here

  • If the gift card looks like this:

    • This is a digital gift card

      • Click on the email icon

      • Check that the recipient email is known to the person in front of you

      • Once done either copy the activation link and send it manually to the member or change the recipient email and click on "Send"

      • Then follow the steps indicated here

  • If the gift card looks like this:

    • It's a digital gift card but it's already been activated.

If no gift card appears in this section either you are not on the right member or the gift card buyer did not buy any giftcard.
