Access Control- Passes activated on first use

This article explains in details the logic of passes activated on first use

If you granted studio access to the pass, you'll see a new option in the start date options for your pass: Valid from the first use.

This option is meant to create "Drop-in passes". Those passes can be used to give one-day access to members who are not subscribed, for example.

"Valid from the first use" passes become active when a member checks in for the first time (opens a door to access the studio or scans their barcode) or does a first booking. Then the pass will be valid for the given number of days (a day, a week ...).

Set up the validity period

  • In the validity section select "Valid from the 1st use (booking or check-in)

  • Then, define the "Activation period".

    • The activation period is the time during which the pass is not activated yet; it's waiting for either a first check-in or booking. If the member doesn't do any of these actions during the activation period, then the pass will expire.

  • Then define the validity period of your pass.

    • Once activated, your pass will become valid for the duration indicated. Your members will be able to access the studio only during the given period.

Activation

This pass will be activated with the following actions:

  • A first booking

    • The pass validity will start on the date of the booked session

  • A first check-in

    • The member accessed the studios using this pass (opened a door or scanned their bar code)

First booking edge case

  • If the first booking of this pass is canceled and there is no other bookings done with the pass:

    • The pass validity will fall back to the activation period and will be waiting for another booking or first check-in.

  • If the first booking of this pass is canceled and there is another booking:

    • The pass validity will start on the date of the next closest booking in time.

Manual activation

Passes that activate on first use can be activated manually by going on the member profile in the "passes" tab.

Clicking on the "Activate" button, activates the validity of the pass.

This button appears only if:

  • the pass is activable on first use

  • there has been no first check-in

  • the pass is not expired

Note the button still appears even though a first booking has been done. The goal is to allow your staff to change the activation date to today if a member comes to the studio and wants to have access before the day of their first booking.

This comes in handy for drop in passes that are valid for a week.

It is important to note that if the new start date of the pass, makes it so that some bookings are not inside of the validity of the pass anymore, the bookings will not be canceled automatically. The staff will be warned and will decide what to do.
