Request several substitutions for the same session

The substitution tool allows you to make substitution requests in case you are no longer able to teach one of your sessions.

Already assigned as a substitute but can no longer teach the session? This article explains how to launch a new substitution request so another teacher can take over. For a complete overview of the substitution tool, see How to use the substitution tool as a teacher.


What is a new substitution request?

The substitution tool allows multiple successive requests for the same session. This means if you were assigned as a substitute teacher but become unavailable, you can request another substitute—just like the original teacher did.

Example scenario:

  • 9:00 AM: Teacher A requests substitution

  • 9:30 AM: Teacher B is assigned as substitute

  • 10:30 AM: Teacher B realizes they're unavailable

  • 10:35 AM: Teacher B launches new substitution request

  • 11:00 AM: Teacher C is assigned as new substitute

Good to know: There's no limit to how many substitution requests can be made for the same session.


Prerequisites

Before requesting a new substitution:

✓ You have access to the teacher substitution tool (included in the Premium+ pack)

✓ You must be currently assigned as the substitute teacher for the session

✓ The session is scheduled in the future

✓ The substitution request closing date hasn't passed (this deadline is set by your studio)


How to request a new substitution

Scenario: Following our earlier example, it's now 10:30 AM. Teacher B was assigned at 9:30 AM to replace Teacher A, but has just realized they cannot teach the session after all. Here's how Teacher B can request another substitute.

1. Log in to your Teacher View

2. Navigate to the session

  • Go to Substitution > Confirmations

  • Locate the session you were assigned to as a substitute

3. Launch the substitution request

  • Click on ‘Request substitution’

  • Enter the reason for your unavailability

  • Click ‘Submit’

Request sent successfully

All eligible teachers can immediately see the request in their Member Area:

Please note: When you create this new substitution request, here's how it appears for different teachers in their Member Area:

  • Teachers who answered "Yes" to the first request: They will see the new request with their "Yes" answer pre-selected. They don't need to answer again unless they want to change their response.

  • Teachers who answered "Maybe" to the first request: They will see the new request with their "Maybe" answer pre-selected. They can update their answer if their availability has changed.

  • Teachers who answered "No" to the first request: They will see the new request with their "No" answer pre-selected. They remain unavailable unless they actively change their response.

  • Teachers who didn't respond to the first request: They will see the new request as a fresh opportunity and can answer for the first time.

  • Teacher A (the original teacher): They will see your new request in their Member Area with "No" answer pre-selected, allowing them to volunteer if they've become available again.

💡 This means Teacher C, who answered "Yes" to Teacher A's original request, will automatically appear as available for your request too—making it easier for your manager to quickly assign them.


From request to assignment: the journey

10:35 AM: Teacher B new substitution request is created

→ Teacher C (who previously answered "Yes" to Teacher A's original request) sees the request appear in their Member Area with "Yes" pre-selected

→ Other available teachers see the request appear in their Member Area

→ The studio manager can review all responses in the substitution management interface of the back-office

11:00 AM: The studio manager assigns Teacher C

→ Teacher C becomes the new assigned teacher and can see the session in the ‘Confirmations’ tab

→ Teacher B's request disappears from all other teachers' Member Area

💡 Once assigned, the session appears in Teacher C schedule just like any regular session:


🔍 How teachers know they've been assigned:

  • Request still visible in Member Area? → The request is still open, no substitute has been assigned yet

  • Request disappeared from Member Area? → Go to the Confirmations tab to check if you've been assigned as the substitute teacher for that session


Track your request

In Substitution > My requests, all your substitution requests appear: ongoing requests are displayed in the Pending section at the top, while requests for which a substitute has been assigned move to the Substitute found section below:
