How to manage your teachers' absences using the subteacher tool?

With this sheet, learn how to manage your teachers' absences and how to find a substitute for the affected sessions.

This feature allows you to manage all your teachers in need of a substitute. With the subteacher tool, teachers who are absent can offer their lessons to other teachers so that they can register for them as a sub. This will make it easier for you to manage your teachers' absences.

ℹ️ This feature is an upsell, please contact your account manager to get it.

Step 1: Activate the teacher view

In order for your teachers to have access to the feature, they must have access to the teacher area.

You can activate this access by default for all your new teachers in Settings > Teachers' Area

Or you can manage it teacher by teacher, on each teacher's profile. Go to Teachers, choose your teacher, then activate the Teacher View toggle

Step 2: Access to substitution requests

In My Studio > Substitution, all the substitution requests are displayed

You can filter requests according to :

  • The teacher, the establishment, the activity, the category, the location (if upsell)

  • Status of the request: late, on time

  • Status of requests: open or closed

  • The date of the session

The information indicates :

  • Whether the request was made on time or late

  • Whether registrations are closed or open, and the number of teachers registered on this request

Step 3: Indicate which sessions your teachers can teach

From the Teacher tab :

On your teacher's profile, in the Substitution section, indicate the activities, workshops, or categories that your teacher can teach, and the establishments where they can teach.

You can choose to assign them to a discipline group (they will then follow the rules of that group) or create a custom rule for them.

From the Substitution tab :

On the Discipline Groups tab. You can create groups of teachers so that you do not have to set up teacher by teacher. Click on Add a group

Choose a name for the group, the sessions and the categories that the teachers in this group can teach, and the establishments where they can teach. Assign teachers to this group.

When a teacher is indicated as being compatible with a session, they will be able to be notified by email, see the corresponding replacement requests and respond to them.

A summary of available teachers by discipline is also available.

Step 4: Manage the requests made

Access the details of the request and assign a teacher:

To access the request information, click on the arrow in the Action column

The list of teachers who have registered to be a substitute for the session appears. To assign a teacher: click on Assign. The selected teacher will be assigned as a teacher on the session in question

Refuse the request: You can refuse a request with the cross in the Action column

Please note that by executing this action, no new replacement request for this session can be made by this teacher.

Access the substitution history :

In the Substitution history section, you have access to all the sessions for which the substitution request has been completed.

Step 5: Manage late requests

In Settings > Teacher view > Substitution settings

Define the number of days before the start of the session during which the request will be considered as late.

Set a limit for late requests:

Activate the "Limit of late requests" toggle and specify the maximum number of late requests a teacher can make. Indicate the frequency of this limit. If the limit is exceeded, the teacher will no longer be able to make late replacement requests. However, the teacher will still be able to make replacement requests on time.

Specify a closing date for registrations to give you time to choose which teacher to assign to the session. Define the number of days before the start of the session during which teachers will not be able to register on a replacement request

Save your changes.

Step 6: Postpone the closing date for applications

When a late application is made, most of the time the closing date has already passed. You can extend the closing date for this session only to give your teachers more time to register.

In My Club > Click on the clock icon in the Closing Date column. Choose the new closing date
