Terminology update: some labels on this page have recently been renamed for clarity. This article uses the current names throughout:
One-by-one is now First in line
First come, first served is now First to respond
Simple is now Fixed window
Intelligent is now Adaptive window
Set up the waitlist
Go to Settings > Waitlist to configure the settings.
General settings
Hold unbooked spots for waitlist (previously "Save spots for waitlist only") — when a spot opens, it's held for the waitlisted client until they book. Turn this off and any client browsing the schedule could take it first.
Require a valid pass to join the waitlist (previously "Require a valid pass with sufficient credits") — clients can only join if they have a compatible pass with enough credit. Turn this off and clients can join without one, but they won't be able to book when their turn comes.
Priority management
Choose how clients are notified when a spot becomes available. This also decides whether the automatic booking and reminder settings below apply.
First in line (previously "One-by-one") — clients are ranked in the order they joined. The first person is notified when a spot opens; if they don't respond, the next person is notified.
First to respond (previously "First come, first served") — all clients are notified at the same time. Whoever books first gets the spot. Automatic booking, reminders, and waitlist position don't apply in this mode.
Automatic booking (applies only when First in line is selected)
Automatically book clients and deduct credits — when a spot opens, the next client in line is booked automatically. Credits are deducted from the pass expiring soonest.
Remove clients whose pass expires before their turn (previously "Remove clients without a valid pass") — a client might use their credits elsewhere while waiting. If they no longer have a valid pass when their turn comes, this removes them from the waitlist instead of leaving them stuck.
Stop automatic booking before the session — set how many minutes before the session automatic booking should stop. If a spot opens within this window, the client won't be booked automatically — they'll get a notification instead so they can confirm manually.
Reminders and cancellation (applies only when First in line is selected)
Automatically remove clients who do not book — send reminders and offer the spot to the next client if the current one doesn't book in time. Each missed offer moves the spot to the next person immediately and counts as one strike toward removal — it isn't a block of consecutive reminders before moving on.
Number of reminders before removal — the client is removed after missing this many spot offers.
Fixed window (previously "Simple") — give the client the same response window every time a spot opens.
Time to respond to each offer (previously "Time between reminders") — set how long a client has to book before the spot moves to the next person.
If a spot opens, the client has the set number of minutes to book it. If they miss it, the spot moves to the next person and they stay on the waitlist. After missing the set number of spots, they're automatically removed.
Adaptive window (previously "Intelligent") — adjust each response window based on the time remaining before the session.
Percentage of time remaining — each response window is this percentage of the time left before the session, so windows get shorter as the session gets closer. A 15-minute minimum applies.

Waitlist position (applies only when First in line is selected)
Show the client's position on the waitlist — display the client's current rank while they're on the waitlist. There's no ranked position to show in First to respond mode.
