Book a client into a class

This article covers the new Back Office. It doesn't apply to the website or app.

Book a client into a class using the step-by-step wizard: Client → Pass → Seat → Confirmation.

Step 1. Go to Class overview, open the class, then select Book a client.

Step 2. Search for the client by name or email and select them, or select Create a profile if it's a new client. An alert appears if their profile is missing an email address or a required tag.

Step 3. Choose a pass. Passes are grouped into the Compatible, Incompatible and Bill a new pass tabs.

  • The recommended pass (the one that uses the fewest credits) is pre-selected.

  • Hover over a pass to see how many credits will remain after the booking.

  • Incompatible passes show a reason, such as "Expired", so you can explain it to the client.

  • No compatible pass? Use Bill a new pass to sell one on the spot.

  • If you have credit management permission, turn on Skip credit to avoid deducting a credit. A pass is still required.

Step 4. (Recurring classes) Tick Book future dates to select other classes to book right now, within the client's available credits. This doesn't create a recurring booking: the rules that automatically book classes in advance are always set up from the client's profile.

(Series) Use the Upcoming/Past tabs to choose which classes to book, even outside the series' own rules. A warning appears if this goes beyond those rules.

Step 5. (Regular classes, if Seat selection is enabled) Choose a seat. For recurring classes and series, a seat is assigned automatically for now: you can change it afterwards from the booking's three-dot menu.

Step 6. Check the summary, then confirm.

  • "Send a confirmation email" is on by default: turn it off if you don't want to notify the client.

  • Booking a class that has already started or finished? Confirm the message that appears to continue.

  • Is the class full? You can still book if you have permission to, or select Add to waitlist, which only appears when the class is full.

A confirmation appears once the booking is complete, and the client shows up immediately in the attendee list. Any outstanding balance appears as a red dot next to their name.

Known issue: "Create a profile" opens the old sign-up form in a new window. The new client still appears in search results without needing to refresh the page.

Frequently asked questions

Why do I still need to choose a pass when I turn on "Skip credit"?
No booking can exist without a pass. When Skip credit is on, no credit is deducted, but attendance is still recorded.

What's the difference between "Book future dates" and a recurring rule?
"Book future dates" books the classes you choose right now, within the available credits. A recurring rule automatically books matching classes in advance, and is always set up from the client's profile.

A client has no compatible pass: can I still book them in?
Yes. Use Bill a new pass, or add them to the waitlist if the class is full.

Can I change the pass after booking?
Yes: you can swap it from the booking's detail view, without having to cancel and rebook.
