Segment filters

This article is a guide to segment filters in the new Back Office

Terminology update: Smartlists is now called Segments in the new Back Office. This article uses the term Segments throughout. A customer searching for "smartlist" will still find it via Intercom search.

This article lists all the filters you can use to build a custom segment, grouped by the four categories in the catalogue, along with what each one does. To learn how to create, check, and save a segment, see Create and manage a segment.


How filters work

  • Filters are cumulative. They combine with AND — a client must match every filter applied to appear in the results.

  • There's no OR function yet. For an \"either/or\" client journey, create a separate segment for each condition.

  • Add criteria to narrow your search. Once a filter has a value, you can add further criteria to refine it. Set up the filter first, then narrow it down.


How filter fields work

Filters share a small number of field types. Once you recognise them, every filter behaves predictably:

  • Two-option choice — two visible options, with one selected by default, such as Yes/No or Has/Doesn't have.

  • Dropdowns — a single-select list that shows the chosen value until you open it.

  • Numeric comparisons — choose an operator (greater than or equal to, exactly, less than or equal to, or between), then enter a whole number. \"Between\" adds a second field. Decimals aren't accepted — a \"Use whole numbers\" message appears.

  • Search and select — search a list and select one or more values. You can select specific items or all items, but not both at once; select at least one item to apply the filter.

  • Fixed dates — choose an exact date or a date range, using operators such as exactly on, on or before, on or after, or between.

  • Relative dates — filter by a rolling period relative to today, such as the last 30 days. A live preview shows the resolved dates. For a range, the second value must be greater than the first.

  • Toggles — turn on an optional criterion; its input field appears once the toggle is switched on.

What the filter covers

Profile status

Clients by profile status. Defaults to Active; change it to filter archived profiles.

Account balance

Clients who are in credit or in debit with your studio. See the note below on unpaid invoices.

Registration date

Clients registered on a chosen date or during a chosen period.

Gender

Clients by gender.

Tags

Clients who have, or don't have, a given tag — chosen by tag category and value.

Password set

Whether a client has set a bsport password.

Liability waiver accepted

Whether a client has accepted your liability waiver.

Age

Clients within a specific age or age range.

Form completed

Clients who have, or haven't, completed the selected forms.

Marketing consent given

Clients who accept or decline marketing communications by SMS or email.

Internal notes

Clients with at least one internal note (for example, a medical note).

Shared packages

Clients who share packages with linked accounts.

Phone number provided

Clients who have provided a phone number.

Terms and conditions accepted

Clients who have, or haven't, accepted the terms and conditions.

Referrals made

Clients who have referred other people.

Referred by

Clients who were referred by another person.

What the filter covers

Class package

Clients who have, or don't have, a given class package. Add criteria to narrow by purchase date, expiry date, and remaining credits.

Appointment package

Same as class package, but applied to appointment packages.

Valid packages

Clients with a given number of packages currently valid today, from the packages you select.


Bookings

Filter

What the filter covers

Booking milestone

Clients who have reached a specific booking milestone (for example, their Nth session), based on the criteria you choose.

Total class bookings

Clients who have booked a given number of classes, based on the criteria you choose.

Last booking date

Clients whose last booking was a given number of days ago and who have no future bookings.

Total appointment bookings

Clients who have booked a given number of appointments, based on the criteria you choose.


Purchase history

Filter

What the filter covers

Total amount spent

Total amount a client has spent at your studio.

Abandoned cart value

Clients with an abandoned cart, based on its value.

Payment method saved

Clients with no saved payment method, or with at least one.

First purchase made

Clients who have made a first purchase.


Filter-specific notes

Filtering active subscriptions. There isn't a dedicated subscription filter yet. As a workaround, use Valid packages set to \"greater than or equal to 1\" and select the package linked to the subscription.

Account balance and unpaid invoices. The Account balance filter includes unpaid invoices in the balance, which means a client can show a zero balance while still having invoices outstanding. For now, treat account balance results as approximate.

⚠️ Known issue: account balance combines paid and unpaid amounts, which can make results misleading. This is being looked at separately.

Default profile status. Profile status defaults to active profiles, which covers the most common case. Change it to filter archived profiles instead.
