What hasn't changed: Creating a role and creating a staff account still use the same core fields — only where you do each step has changed.
Different structure, same flow: Staff and Roles & Permissions are now separate pages in Settings (previously both lived on the same Staff tab). You can create a role directly from Settings > Roles & Permissions, or from the Staff page via the Manage roles button at the top.
Step 1: Create a role
In the new Back Office
Go to Settings > Roles & Permissions (or select Manage roles from the Staff page) and select + Add role. Give it a name and optional description, then choose to build it from scratch or use an existing role as a template — including bsport's preset roles (Check-in Limited, Check-in Wide, Check-in tablet, Admin, Reporting, Owner) or any custom role you've created. Set navigation permissions (pages and top navigation actions) and feature permissions (create/edit/delete access per service), then select Create role to confirm.
For what each permission does, see our helpsheet on staff permissions details.
In the previous Back Office
We currently have 6 types of pre-configured roles: Check-in Limited, Check-in Wide, Check-in tablet, Admin, Reporting, Owner. You can also create your customised role by clicking Add a role, giving it a name and description, and ticking the permissions allocated to it.
Step 2: Create a staff account
In the new Back Office
From the Staff page, select Create staff. Enter a name, email, and password as before, then choose the Role to link from the dropdown. If you pick a Manager role, an Assigned teachers field appears — select which teachers that staff member is responsible for. Set the Billing Location, then save.
In the previous Back Office
Once you choose the role you want, click Add staff, indicate a name, allocate an email and password, and link the role of your choice to that staff account.
Unchanged: an email already linked to a member or teacher profile can't be used for a Staff account. A fictitious email works (e.g. teacher@studioname.com), and multiple people can share one staff account if they use the same role.
