Bill a membership to a client

This article covers the two ways to bill a membership to a client.

ℹ️ This article covers the client profile in the new Back Office and the Classic Back Office. This article will be updated as we release more improvements over the coming months.

Members are now called clients, and subscriptions are now called memberships, in the new Back Office.

In the new Back Office

You bill memberships from Quick sell. You can open it from a client's profile or from the top navigation.

From the client's profile

  1. Go to Clients > Profiles and open the client's profile.

  2. Select Bill at the top of the page. Quick sell opens in the Checkout window, with the client already selected.

  3. Choose the Billing location.

  4. Under Add item, select Membership as the type.

  5. Search for the membership under Item, choose the Start date, and add an internal note if you need one. Then select Add item.

  6. Check the membership in Summary. You can also select Add discount code or Add footnote.

  7. Select Pay.

  8. In the Membership payment window, choose a saved payment method, or select Credit card or SEPA payment to add a new one. Then select Pay.

From the top navigation

Select Quick sell in the top navigation and choose the client in the Checkout window. Then follow steps 3 to 8 above.

Memberships must be billed separately. You can't add other items to the same invoice as a membership. To bill other items, start a new checkout.

Once billed, the membership appears on the client's Memberships tab. To set up, pause, or monitor memberships, go to Products > Memberships. To manage a membership's invoices, see Membership billing.

In the Classic Back Office

Method 1: From the client's profile

  1. Go to the profile of the client you want to bill.

  2. Select Subscribe at the bottom right of their profile.

  3. Select the membership.

  4. Choose the payment method. You can also add a note and a promotional code.

You can edit the billing date and choose a past or future date. If you choose a past date, you'll also need to choose the payment method for any past invoices linked to the membership.

Method 2: From the membership

  1. Go to Products > Contracts and select the person icon on the membership.

  2. Search for the client.

  3. Choose the payment method. You can also add a note and a promotional code.

The billing date works the same way as in Method 1.
