Archive a client

This article will guide you on how to archive a client so that they no longer appear in your customer base.

ℹ️ This article covers the client profile in the new Back Office and the Classic Back Office. This article will be updated as we release more improvements over the coming months.

Members are now called clients in the new Back Office.

Archiving hides clients you no longer need to see, such as inactive clients migrated from a previous provider. Archived clients aren't deleted: their purchases, bookings, and invoices are kept.

In the new Back Office

Archive a client

  1. Go to Clients > Profiles and open the client's profile.

  2. Select the three-dot menu at the top of the page, then Archive.

  3. Check the list of anything still active on the account, such as unpaid invoices, active passes, upcoming bookings, or active memberships. Resolve these first if you can.

  4. Confirm to archive the client.

Find an archived client

Archived clients are hidden from the client list and search. To see them, go to Clients > Profiles and select Archived profiles, next to Create profile. All archived clients are listed there.

Restore a client

  1. Go to Clients > Profiles and select Archived profiles.

  2. Open the client's profile. A warning banner appears at the top of every tab.

  3. Select Restore in the banner.

Archived clients aren't deleted. Their purchases, bookings, and invoices are kept. If an archived client logs back into their account, they're restored automatically.

In the Classic Back Office

Step 1: Archive a client

Go to the Members tab and select the trash can icon on the client's row. You can also do this from the client's profile, using the icon at the bottom right.

The system warns you if the client still has unpaid invoices, active cards, future bookings or appointments, recurring bookings, current memberships, or memberships with auto-renewal turned on. Resolve these before archiving if you can.

Once archived, the client no longer appears in your client list or search, and "archived" shows next to their name.

Archived clients aren't deleted. Their purchases and bookings stay on the platform and in reports, except the Member and 1st session (collective) reports.

Step 2: Search for an archived client

Search for the client's name. Archived clients appear at the bottom of the list of active clients. If you enter the client's email, phone number, or exact name, they appear as a search suggestion.

Step 3: Filter archived clients with smartlists

Smartlists show active clients by default. To show archived clients, open a smartlist and choose Archived in the default filter. You can also select all clients.

Step 4: Restore a client

Open the client's profile (using step 2 or 3) and select the green button at the bottom right.

If an archived client logs back into their account, they're restored automatically.
