Connect Wellpass to bsport

This article will guide you on how to connect Wellpass to bsport

When Wellpass is connected, your classes on bsport appear on the Wellpass marketplace and stay in sync. Wellpass members can book your classes from the Wellpass app, and their bookings appear in your bsport Back Office.

You can now set up the connection yourself, directly from your Back Office.

ℹ️ Good to know: EGYM Wellpass is available in Germany, Austria, France, Belgium and the USA. Gymlib is now part of Wellpass, so there’s one single integration.

Before you start

You need two things before you can connect Wellpass:

1. A contract with Wellpass. If you don’t have one yet, contact Wellpass directly. Onboarding usually takes 2 to 6 weeks, depending on how quickly the paperwork is completed.

2. The Wellpass option on your bsport plan. Contact us through the chat and we’ll add it for you.

⚠️ If you see the message “Wellpass isn’t part of your subscription yet. Contact us to add it.”, the Wellpass option hasn’t been added to your plan yet. Contact your Account Manager.

In the New Back Office

A venue is a location where your classes take place, as set up in your Back Office. Linking venues to Wellpass decides which of your classes appear on Wellpass, and at which venue: Wellpass members only see classes that take place at a linked venue.

Set up Wellpass

Step 1: Go to Connections.

Step 2: On the Wellpass row, click Start setup.

Step 3: On the Wellpass page, click Set up Wellpass.

Step 4: You’ll see the message “Wellpass is set up. Your venues are linked.”

When you click Set up Wellpass:

  • bsport creates your Partner ID, which identifies your studio on Wellpass.

  • All your venues are linked by default, so classes at every venue can appear on Wellpass.

  • The Wellpass team is notified automatically and finalises the integration on their side.

💡 Tip: If Wellpass asks you for an identifier, share your Partner ID. You can copy it from the Wellpass page in your Back Office.

Edit your linked venues

You can change which venues are linked to Wellpass at any time. Use the edit action on your Wellpass account, select the venues you want, and save.

⚠️ If you remove a venue, you’ll see a warning before saving. Upcoming classes at that venue will no longer appear on Wellpass.

Stop Wellpass

On the Wellpass page, click Stop Wellpass and confirm. This disconnects all your venues from Wellpass.

When you stop the integration:

  • All your venues are disconnected from Wellpass.

  • Upcoming classes are removed from Wellpass, including bookings made through Wellpass.

  • The Wellpass team is notified.

ℹ️ Good to know: You can set up Wellpass again at any time. This reactivates your existing Wellpass account.

In the Classic Back Office

Set up Wellpass

Step 1: Open the Partnership page and go to the Wellpass panel.

Step 2: Click Set up Wellpass.

Step 3: bsport creates your Partner ID and links all your establishments by default. You’ll see the message “Wellpass is set up. Your establishments are linked.”

Edit your linked establishments

Use the edit action on your Wellpass account, select the establishments you want, and save. Upcoming classes at an establishment you remove will no longer appear on Wellpass.

Stop Wellpass

Use the delete action on your Wellpass account, then confirm with Stop Wellpass. This disconnects all your establishments from Wellpass and removes upcoming classes, including Wellpass bookings.

Make a class available on Wellpass

For a class to appear on Wellpass, both of these settings must be turned on:

  1. "Listed" (New Back Office Terminology) or "Available for booking (web + app)" (Classic Back Office Terminology)

  2. "Available to book for clients from ClassPass, Urban Sports Club, Wellpass, Wellhub and myClubs" (New Back Office Terminology) or "Enable aggregator bookings" (Classic Back Office Terminology)

If the second setting is off, the class won’t appear on Wellpass.

ℹ️ Good to know: New classes can take up to 30 minutes to appear on Wellpass. Classes are shown on Wellpass up to 1 month before they start.

Switching to bsport from another booking system?

If you’re moving to bsport from another provider (for example Mindbody), your previous system is disconnected from Wellpass as soon as the switch happens, and any bookings still in it are cancelled automatically.

To avoid disruption for your members, we recommend you:

  • Stop using your previous booking system before the switch.

  • Cancel any existing Wellpass bookings in that system.

  • Let your members know about the change before the switch date.

💡 Tip: Contact us as early as possible if you’re migrating, so we can coordinate with Wellpass.

Frequently asked questions

Are appointments and online classes available on Wellpass?
No. Only in-person group classes are synced. For hybrid classes, only the in-person spots are available on Wellpass.

What happens if a Wellpass member cancels their booking?
The cancellation appears in your bsport Back Office straight away.

What happens if I cancel a Wellpass booking from my Back Office?
The cancellation isn’t sent to Wellpass, so the booking stays on Wellpass and the member isn’t notified. Contact the member or Wellpass directly to let them know.

What happens if I cancel a whole class?
All Wellpass bookings are cancelled and the class disappears from Wellpass within 30 minutes. Wellpass members don’t need a refund because they’re on an unlimited plan.

Which cancellation policy applies to Wellpass members?
The one in your Wellpass contract, usually up to 12 hours before the class. Your bsport cancellation rules don’t apply to Wellpass bookings.

How do I find Wellpass bookings in my reports?
In the Bookings (group activities) report, filter the Pass column by wellpass. Wellpass bookings don’t appear in the Payment report because there’s no transaction.

Is the Wellpass check-in synced with bsport?
Not yet. Members check in with a QR code in the Wellpass app, but attendance isn’t synced to bsport for now.
