How to Create a New Contact

Introduction

Follow these steps to create a new contact:

1. Go to Contacts -> +New.

General Section

  • Display Name - *required.

  • Company Name

  • Reg / ID No.

  • Contact Persons

  • Type - *required.
    *Note: You can have multiple types for one contact. If the contact you are creating is your customer, supplier, and employee, tick all of the checkboxes.

  • Receivable Account - If you tick the Customer contact type checkbox, you need to select the Receivable Account.

  • Credit Limit: Setting a credit limit will prevent the customer from having outstanding receivable amount beyond the limit.

  • Payable Account - If you tick the Supplier contact type checkbox, you need to select the Payable Account.

  • Groups - Set the contact group for this contact, if applicable.

  • Price Level - Set the price level for this contact, if applicable.

3. Contact Information Section.

Add in Email Address and Phone Number. *optional

  • *If you send the e-invoice to this customer, the system will use the email you enter for this contact.

4. Addresses section.

Type in a Billing Address or/and Shipping Information. *optional

  • If the Contacts Billing & Shipping Address are the same, tick both ‘Default Shipping’ and ‘Default Billing’.

  • If they are different, click + Address to add a new address.

5. Default Settings section

  • Tags

  • Currency

  • Payment Term

  • Income Account

  • Expense Account

*If you set up the default in this contact level, the system will use this default (override the general default settings) when you record a transaction.

6. Automated Email section.

  • By default, Monthly Statement and Invoice Reminder will be turned on.

  • Toggle off Monthly Statement and/or Invoice Reminder if you do not wish the system to automatically send emails to the contact.

7. Other Information section.

Add in a Remark, for the Contact. *optional

8. Attach Files to the contact if have any.

9. Save and you're done.
