Create a Checklist for Student Users

Use CampusESP's Checklists feature to assign tasks to students to keep them on track

Keep every student on track with clear next steps! Checklists can be personalized by student type, college, and more ensure no tasks fall through the cracks. Allow students to check off tasks themselves, or automate completion based on other actions taken.

You can visit the Content here: https://[yourportalname].campusesp.com/admin/emails. You can also navigate to this page by clicking on the Content tab on the left-hand side of the Admin area.

Click on Checklists and Add New Checklist.

  1. Add a Checklist Name (ex. Freshman Accepted Student Checklist)

  2. Add a Description (ex. Now that you’ve been accepted, complete the steps below to enroll as a full-fledged student!)

  3. On the right side, Select Your Audience. Select which users will see this checklist. The checklist will only be visible to users who match your chosen targeting criteria, such as community membership, user role, or organization.

  4. Upload a Header Image.

  5. Select an Accent Color, which is an optional accent color that you can use to highlight the checklist.

  6. Once a student completes the checklist, you can automatically have them join communities. Select the community you want them to join and then Create List.

Click on your Checklist to add Checklist Items.

Checklist items are the individual tasks or steps that students need to complete. Each item can be configured with a name, description, and trigger type.

  1. Click Add Item and fill in the Item Name (ex. Register for Orientation) and Description (ex. Register for Orientation to complete this item!).

  2. You also have the option to add a CTA button. Add the clickthrough URL in the Button Link field. Select a Button Color and Link Color. On the right side, you can preview the link by clicking the button below to test your link. It will open in a new tab.

  3. Provide a message after completion. For example, “Thank you for completing this item! Make sure to check your university email regularly.”

  4. Choose a Trigger Type to specify how this checklist item is triggered to be completed. Options include:

    • Manual (User can check off)

    • Automation

    • Module completed

    • Unit of a Module completed

    • Register for event

In this example, you would select “Register for event” and then select the Event (ex. Orientation 2026). Click “Update Item” to save.

Repeat this process to add all of your checklist items.

These may include but are not limited to submit required documents, secure housing, sign up for orientation, set up your email, submit your ID card photo, complete your placement testing, etc.

Enroll students (with support from CampusESP)

Once your checklist are set up:

  1. Confirm that checklist settings and audiences look correct.

  2. Connect with your CampusESP team to:

    1. Validate your configuration

    2. Set up or confirm student **enrollment** into the checklist

    3. Plan your launch timeline and communications
