✅ Express Onboarding Checklist

Welcome! This quick-start checklist will help you get your gym fully set up in Chalk It Pro in just a few steps. Use this to hit the ground running 🚀

*Note: this is just a checklist, please refer to the Step-by-Step Onboarding Guide for instructions on set-up. We have many addition resources and articles in our Help Center.

[ ] Step 1: Set Up Your Organization

Set up your Organization Profile. You would have been directed to do so after purchase, but can also do so under Admins > Organization > Organization Profile.


[ ] Step 2: Invite Coaches & Admins

*can do this at a later step

[ ] Go to the Members page and invite your staff (Create a New Member)

[ ] Assign roles in their profile:

  • Coach (access to coaching tools)

  • Admin (full administrative and coach access)


[ ] Step 3: Connect Billing

[ ] Create a new Stripe account (do not reuse an existing one)

[ ] Invite devteam@chalkitpro.com as a Developer role

[ ] Chalk It Pro support team connects your new Stripe account to CHIP

[ ] Set up tax rates (if applicable)

  • Tax Rates - Admins > Billing > Billing Set-up


[ ] Step 4: Migrate Payment Data

Choose one:

[ ] Ask your current provider to transfer customer data to your new Stripe account - Start this step now

  • Please see Step-by-Step Guide for full details and instructions. May be limited based on old software provider

[ ] Ask your members to manually enter payment information in Chalk It Pro - Done at a later step


[ ] Step 5: Create Tracks

[ ] Set up Tracks (e.g., CrossFit, Bootcamp, Spin, Kids, etc.) to manage who sees what classes and programs

  • Admins > Tracks and Memberships > Tracks


[ ] Step 6: Create Documents

  • Assign them to:

    • All members (via Documents)

    • Specific memberships (Contracts, etc.)

    • Individual people

  • Admins > Organization > Documents


[ ] Step 7: Configure Memberships

Create membership types:

[ ] Recurring subscriptions

[ ] Punch cards

[ ] Free trials

  • Admins > Tracks and Memberships > Membership Set-up


[ ] Step 8: Add Coupons & Discounts

  • Create promotions for memberships or retail store products

  • Admins > Billing > Coupons


[ ] Step 9: Set Up Classes

  • Add and schedule recurring classes to your calendar

  • Use Tracks to determine what memberships see what classes in their class calendar

  • Admins > Class Scheduler > Class Set-up


[ ] Step 10: Add Store Products

  • Set up retail items in your store (e.g., shirts, supplements, gear)

  • Admins > Billing > Store Set-up


[ ] Step 11: Import Members

  • Email your member list (.CSV file) to support@chalkitpro.com

  • Use subject line: "Member Import"

  • See Step-by-Step Guide to see what information can be imported


[ ] Step 12: Invite Members to the App

  • Once imported, invite members to set up their Chalk It Pro account

    • email support@chalkitpro.com to send a mass invite email

    • Click the letter icon next to their name in Members to send invites individually


[ ] Step 13: Import Workout Programming

  • Import past workouts from:

    • SugarWOD

    • Wodify

    • ZenPlanner

    • Triib


[ ] Step 14: Assign Memberships

[ ] Ensure members have payment methods set

  • If you migrated payment info into your Stripe account from another platform, email support@chalkitpro.com to link payment info to your members

  • If you're asking them to manually reenter info, now is the time for them to do that

[ ] After No Payment Method tag is removed, assign the correct membership

  • (Optional)

    • For subscription memberships, add a free trial period before billing begins to set correct billing date

    • Punchcards can be assigned for free as it's a one-time payment that is already paid
