Here are some helpful tips and knowledge bombs that might be good to know as you get started!


Understanding User Types: Leads vs. Members

In Chalk It Pro, every individual in your system is categorized as either a Lead or a Member. This distinction is crucial as it determines their level of access to your gym's app and services.

Leads: Potential Customers

A Lead is a potential customer who has shown interest in your gym but is not yet a paying member. Think of them as individuals in your pipeline.

Key characteristics of a Lead:

  • They cannot log in to the member app.

  • They cannot view your class schedule or reserve classes.

  • They cannot see your workouts or community feed.

A Lead must be converted to a Member to gain access to the app.

How Leads Are Added to the System

Leads are entered into your system in one of three ways:

  • One-Time Drop-In: An individual signs up for a single session using a specific drop-in membership link or QR code.

  • Document Signature: A person signs a waiver or contract through a document link or QR code without purchasing a full membership.

  • Manual Entry: You manually add a new lead by navigating to the Gym Leads section of your dashboard.

Members: Active Clients

A Member is a client who has purchased a recurring or punch card membership and has full access to your gym's community through the Chalk It Pro app.

Member Statuses You can assign different statuses to Members to accurately manage your client base:

  • Active: The member has a current, valid membership.

  • Inactive: The member's membership has expired or been canceled.

  • Payment Issue: The member's most recent payment has failed.

  • Suspended: You have temporarily revoked the member's access privileges.

How Members Are Added to the System

Members are entered into your system in one of three ways:

  • Subscription or Punch Card Membership: An individual purchases an ongoing or multi-session membership via a link or QR code.

  • Direct Member Signup: A person signs up using your general "New Member" signup link or QR code.

  • Manual Entry or Upgrade: You can add a member directly under the Members section or convert an existing Lead into a Member.

Understanding the Gym Invite Code

The Gym Invite Code is a unique code that securely links a member's Chalk It Pro account to your specific gym. Its primary purpose is to improve security and streamline member management. πŸ”

This system is designed to:

  • Prevent unauthorized access to your gym's private content and community.

  • Eliminate duplicate accounts by allowing members to access multiple gyms with a single email address.

  • Preserve workout history by letting you remove ex-members from your gym without deleting their personal account.

How New Members Join Your Gym

When a person first signs up for the Chalk It Pro app, they are prompted to enter a Gym Invite Code immediately after verifying their email.

Members will automatically receive your gym's unique invite code via email when they:

  • Sign up for a membership through one of your payment links.

  • Are manually added as a member in your system by a staff member.

Managing Ex-Members

When a member leaves your gym, you can easily clean up your active member list. Removing them from your system does not delete their Chalk It Pro account.

Instead, their account is simply disconnected from your gym and converted to a standard individual account (second option in above picture). Their entire workout history and personal data remain safe and intact. This allows them to easily rejoin your gym or another facility using Chalk It Pro in the future.

Visiting Other Gyms (Drop-ins)

Your members can easily use their Chalk It Pro account to drop into other gyms that also use our software.

To visit another facility, your member will need that gym's specific Gym Invite Code. They can add this new gym to their account by following these steps in the app:

  1. Tap More Options (the three vertical dots in the top-right corner).

  2. Select the option to add a new Gym Invite Code.

Switching Between Gyms in the App

Once a member is associated with more than one gym, they can switch between them at any time.

To change organizations, they simply need to tap the dropdown menu at the top of the screen (which displays the current gym's name) and select a different gym from their list of "Organizations."
