Overview of Signature Collection on the Bill of Lading
The BoL is a critical document requiring both pre-move (before the service begins) and post-move (after the service is completed) signatures from the customer. Collecting these signatures is essential to validating the transaction and securing customer acknowledgment. Depending on the nature of the job (e.g., a single-day move, multi-day project, or remote scenarios), the procedure for obtaining signatures will differ slightly.
Multi-Day Job Scenarios
For multi-day jobs, there are two primary approaches to handling the BoL and associated signatures:
Using the Same BoL for All Days: - Pre-move signatures should be collected at the beginning of the job. - Post-move signatures should be collected once the entire job is complete. - Once the signatures are collected for a particular section of the BoL, that section becomes locked to prevent further modifications. - Ensure that the final signatures are collected on the last day of the job if a single BoL is utilized for multiple days.
Using Separate BoLs for Each Day: - This approach is especially useful if you need to collect payments, generate invoices, or produce results on a daily basis.
Virtual Signature Collection for Digital BoLs
When the team is no longer on-site, digital BoL signatures can be challenging. Here are the best practices in such a situation:
Digital BoLs can only be signed in person on the mover’s device; remote or virtual signing is not natively supported.
If signatures are partially collected but the final ones are still pending, download the BoL as a PDF from the Results tab. This PDF will include any signatures that the customer has already provided.
Share the PDF with the customer using external e-signature tools such as Docusign or Adobe Acrobat to collect the remaining signatures outside the Chariot platform.
Tools and Alternatives for Virtual Signature Handling
While Chariot does not support remote signing directly within its platform, there are several recognized third-party solutions available to facilitate virtual signature collection for Digital BoLs. You can utilize tools like external e-signature applications to ensure legal and compliant signature completion.
