Understanding and Completing a Bill of Lading (without Time Tracking)

Learn the essentials of navigating and filling out a bill of lading in Chariot for a seamless crew experience

In this article, we'll guide you through how a mover or crew lead should access a job, complete the digital bill of lading (BOL), finalize work time and charges, collect signatures, and process or log payment to ensure a smooth transition from pre-move agreements to end-of-move documentation.

Key Steps

Start a new digital bill of lading or open the BOL if one has already been created

  • Navigate to the BOL tab at the bottom of the crew page.

  • Select New Digital Bill of Lading.

  • Choose the correct BOL type for the job.

  • If applicable, go to time tracking and begin logging job time.

  • If skipping time tracking, select Skip to BOL to continue.

Reminder: This is a general overview of how bills of lading are meant to work in Chariot. Bills of lading are built custom to each specific client, so this overview may show some details that are unique to other clients and may not apply to you. In general, most bills of lading have things like:

  • Company terms and conditions

  • Payment terms

  • Valuation clauses

  • Delivery acknowledgments

  • Pre-move and post-move signatures

Present "Pre-Move Agreements" to the customer

  • Have the customer review:

    • Company terms and conditions

    • Payment terms

    • Valuation coverage, if offered

  • Ensure the customer understands the agreement before signatures are collected.

  • Collect pre-move signatures

Complete "Post-Move Agreements" and exceptions

  • After delivery, move to the post-move requirements section.

  • Ask the customer to acknowledge that delivery is complete.

  • Have the customer provide their initials.

  • If needed, select Add Exceptions to document any missing or damaged items.

  • Record all exceptions clearly before finalizing the job.

Enter manual work time if required (only if not using "time tracking")

  • Select Add Time / Hourly Rate on the BOL screen.

  • Enter the job start time and job end time.

  • Include any non-billable time such as breaks.

  • Confirm the total billable time is accurate before moving forward.

Confirm or adjust the hourly rate

  • Review the hourly rate automatically pulled from the estimate (if applicable).

  • If needed, use a different rate to match the correct job pricing.

  • If the estimate rate is correct, confirm it without changes.

  • Select Set Hourly Rate to lock in the rate for billing.

Verify crew members and truck assignment

  • Review the team members listed on the job.

  • Add any mover who was present but not already listed.

  • Remove any mover who was scheduled but did not work the job.

  • Confirm the truck used on the job is correct.

  • Make sure the logged time is attributed to the correct crew.

Review charges, discounts, and surcharges

  • Review any charges already imported from the estimate.

  • If new estimate charges were added after the BOL was created, use Re-import Estimate.

  • Add any other required charges from the charge list.

  • Apply any discounts or surcharges that affect the total

Note: You can use the "Automatically import charges into BOL" option under Settings > General if you would like all other charges outside of the hourly rate to be automatically imported when a mover starts or creates a new bill of lading.

Add a tip if the customer wants to include one

  • Ask whether the customer wants to add a tip.

  • Enter either a percentage or a custom dollar amount.

  • Select Submit Tip to update the balance due.

  • Confirm the total reflects the tip before collecting final signatures.

Collect final signatures and submit the BOL

  • Have the customer sign the final signature section.

  • The crew lead or mover handling the BOL must also sign.

  • Confirm both signatures are captured successfully.

  • Select Submit to complete the bill of lading process

Proceed to Collect / Log Payment

Open the payment screen and choose the payment method

  • Select Take Payment to open the payment screen.

  • Review the total amount due.

  • Choose the correct payment method based on what the customer wants to use.

  • Use Charge by ACH if the customer is paying from a bank account.

  • Use the Charge Card payment option to charge a credit card directly.

  • Show the customer the QR code if they want to pay on their own device.

  • Send a payment link by text or email if preferred.

  • If payment is made outside the system, use Log Payment to record:

    • Cash

    • Check

    • Zelle

    • Other external payment methods

  • Enter the exact amount and any notes such as a check number.

Important Notes:

  • Closely review the BOL to confirm that all time, rate, crew, truck, and charge details are verified. Errors can affect customer billing and payroll attribution.

  • If crew size does not match the estimate, confirm the correct rate before submitting.

  • Record non-billable time accurately so the customer is not overcharged.

  • Collect both customer and crew signatures at the required stages to ensure the BOL is valid.

  • Use manual payment logging only for payments collected outside the system; do not duplicate a payment by logging it after processing it electronically.

  • Confirm exceptions, damages, or missing items are documented before final submission to avoid disputes later.

Tips for Efficiency:

  • Review the job summary before starting the BOL so you can catch address or inventory issues early.

  • Use the imported estimate charges first, then only add missing items instead of rebuilding the charge list manually.

  • Capture signatures immediately after each required section to avoid having to track the customer down later.

  • If the customer wants to enter their own payment info , use the QR code or payment link to speed up checkout.
