Understanding and Using Automation Metrics

How to find and use Automations Engine metrics — including jobs enrolled, actions taken, and how to drill into which jobs an automation has fired for



Once you have the Automation Engine running, you'll likely want to keep an eye on how it's performing — how many automations are running, which jobs are getting enrolled, and how many actions are firing. It's also useful for auditing: recently, which jobs have been enrolled in which automations, and where has action been taken?

Chariot makes this visible right from the Automations page.


Where to Find Automation Metrics

To access metrics:

  1. Go to the Automations tab in your left navigation menu.

  2. The main dashboard shows a Performance Overview with high-level stats across all automations.

  3. Click into any individual automation to see detailed metrics for that automation specifically.

At the top of the page, use the date range filter to view performance over the last 7, 30, or 90 days, or the previous month.


Dashboard-Level Metrics

The main Automations dashboard gives you an at-a-glance view of activity across all automations:

  • Jobs Enrolled — Total number of leads or jobs that have entered any automation during the selected period.

  • Actions Taken — Total number of automated actions executed (emails sent, tasks created, tags added, etc.).

  • Emails Sent — Total automated emails delivered.

  • Texts Sent — Total automated SMS messages delivered.


Per-Automation Metrics

Clicking into an individual automation shows you the same stats — actions taken, emails sent, texts sent — but scoped to just that automation, along with the list of jobs enrolled during the selected time period.

Important: enrollment is not the same as action fired. When a job is enrolled in an automation, it means the automation is "attached" to that job and watching to see if it should fire an action — but conditions still need to be met before anything actually happens.

Take the example of Flag Completed Jobs with Open Balance After 15 Days. Every completed job will be enrolled in this automation, but the action only fires if there's still an open balance 15 days later. So you may see many jobs enrolled and only a subset of those with actions taken — that's working as designed.


Drilling Into Specific Jobs

From the per-automation view, you can see the list of jobs the automation has fired for. Click into any job to see exactly what happened — for example, the task that was created and the result of that action.

  1. Open the automation from the Automations tab.

  2. Look for the Jobs or Enrolled Records section within the automation detail view.

  3. You'll see a list of leads and jobs this automation has touched, with the status of each action per record.

  4. Click into any record to be taken directly to that lead or job in Chariot, where you can review the task, message, or other action that was created.


Using Metrics to Improve Your Automations

Metrics aren't just for reporting — they help you tune your automations over time. Here's how to interpret what you see:

  • Low enrollment numbers — Your trigger conditions may be too narrow. Review your conditions and filters to confirm the automation is applying to the right records.

  • High skipped or pending actions — Actions may be getting held by Quiet Hours, or records may be getting unenrolled before actions fire. Review your Quiet Hours settings and check whether records are completing the sequence.

  • Lots of enrollments but few actions fired — Often working as designed (see the open balance example above), but worth confirming the conditions match your intent.

  • Actions completing but no visible impact — If emails or texts are sending but you're not seeing the business results you expected, review your communication template copy and timing to see if adjustments would help.

  • Unexpectedly high enrollment — Your trigger or conditions may be broader than intended. Review the enrollment criteria to confirm only the right records are entering the automation.


Tips

  • Check metrics after the first week of going live to catch any obvious issues early

  • Review each automation individually — high-level dashboard numbers won't tell you which specific automation has a problem

  • Use the date range filter to compare recent performance against earlier periods
