Restrict Clock-Ins To Job Site Landlines

Ensure that employees are on the job site when clocking in/out (and not in the McDonald's drive-thru).

Do you want your employees clocking into work from the McDonald's drive-thru?

Probably not. ๐Ÿ˜Ž

You can require your employees to clock in/out by calling from the job site landline. This ensures that employees are on-site when clocking in.

But how do you compel your employees to clock in from these landline phones and prevent them from clocking in with their cell phones?

All the phone numbers employees call from are stored in our phone list. You can do some cool things with the numbers to ensure all clock-ins come from your job site building phones.

How to Ensure Your Employees Clock In and Out from the Job Site

Block Employee Cell Phone Numbers

  • Unauthorize (or block) phone numbers in your phone list. This prevents the number from being used to clock in/out of the system. The next time an employee calls from an unauthorized phone number, they will hear, "You are calling from an unauthorized phone; please contact your Supervisor for assistance."

  • Go to List Maintenance, Phones, and look down the list for wireless numbers. Or change your view to Cell Phones. Click on a number you want to block, click the Unauthorized CID box, and save. Done.ย 

Link Caller IDs to Job Codes

Ok, that sounds like tech talk. What am I talking about? You can associate a job code with a phone number. When employees call from a landline phone linked to their job, the system will not ask for the job code. Employees who call from phones that aren't connected are asked for a code. So, link the phone number to the job code and don't tell employees what the job code is. If they already know the job code, change it.

Some buildings have multiple phone numbers. Link all phone lines to the Job Code.

  • Go to List Maintenance, Phones, and find the number you want to link. Click on it. Then go to the Link to Job tab. The job may appear under Possible Jobs. If this job is correct, click the grey Link button to the right and save. You can also choose it from the dropdown box. Choose it, link it, and save it. All set!ย 

Maintain Your Phone List

New phone numbers will come in constantly. A good practice is to review your phone list weekly. The default view is "Unknown." These "unknown" numbers are always new in a properly cared-for list. Once you link a number, unauthorized it, or edit the CID name, mark it known and save it. Marking a number known removes it from your unknown view, and you don't need to deal with it again. You can always use the "show all" feature to pull up all numbers.

A final note about editing the CID display text: the display text is often labeled "Landline" with no corresponding name, or the name may be wrong. We report what the phone company gives us. If you know the phone number is for ABC Bank, edit the display text field to ABC Bank and save it.
