How to Prevent Scheduled Clock-Ins Outside Your Job Site Geofence

Learn how to set up geofence rules for clocking in, ensuring scheduled employees are at the job site, with a remote work exception

You want your employees at the job site when clocking in, right? When employees are not scheduled for jobs, the app will only show them jobs in which they are located within the geofence. This prevents unscheduled employees from clocking into any job they want to.

But what about employees that you do schedule? We have a way to ensure that scheduled employees are also within your job site's geofence.

Ensure Scheduled Employees Are at the Job Site When Clocking In

There is a global setting that requires all employees to be within the job site geofence when clocking into a schedule; however, two exceptions are available:

  1. An employee override option that admins can change for employees in their clock-in settings.

  2. A location override.

We will outline all options.

How to Activate the Global Geofence Setting

  1. Go to Settings under the gear icon (top right corner).

  2. App Clock In Settings, App GPS Location Services

  3. Be sure "Require employee cell phones to have GPS Location Services enabled to clock in and out" is On.

  4. Click the arrow next to "On."

  5. Check the box, "Require employees to be within GPS proximity when clocking in to a schedule," and save.

Now, all scheduled employees must be physically present at the job site to clock in.

But what about other employees who are exceptions to the rule? Perhaps they clock into your office job but work remotely from home. We got you.

The Employee Override

  1. Click on People, and select the employee

  2. Settings, Clock In Settings

  3. Check the box, "Disable requirement for GPS proximity to the job location when clocking into a schedule from the app," and save.

Your scheduled at-home working admin can now clock in without the requirement to be physically present in the office. Yay!

The Location Override

What's the purpose of a location override? A 1000 scenarios may exist, but we'll cover one. Pro is built on the concept of Customers, Locations, and Jobs to provide you with the most comprehensive level of job costing and employee tracking. To ensure that employees clock in from their job sites, one of the clock-in requirements is to be physically located in the geofence of the job site.

But what if you're a service company that does one-off jobs for customers you may never see again? Adding customers, locations, and jobs for everyone is too taxing. In this scenario, you can set up customer/location/job like this:

  • Customer: Your Company Name

  • Location: Remote (no address)

  • Job: Service Calls (or the specific name of your service)

This one customer/location/job setup allows employees to clock in if they are on the Team and scheduled without a geofence requirement.

How to Set Up the Location Override

  1. Click on Customer/Jobs, Locations

  2. Select the Location, App GPS Settings

  3. Check the box, "Disable requirement for GPS proximity when employees clock in to a schedule at this location from the app," and save.

Now, you have complete control over where your crew clocks in, plus the flexibility to accommodate your remote workers. Win-win!
