What Is An Unknown Job and Why Do Employees Clock Into Them?

'Unknown Job' is a valid clock-in option. Here’s what it means and how to manage it.

How Employees See Available Jobs

Chronotek is designed to prevent employees from seeing all jobs in the system. Employees can only clock into jobs they are eligible for based on specific criteria.

There are six ways employees can clock in with Chronotek (see the article [Six Ways Employees Can Clock In with PRO] for details). In summary, they can clock into a job if:

  1. They are physically at the job location (GPS verification).

  2. They are scheduled for that job.

  3. They enter the job’s shift PIN.

  4. They scan the location’s TimeTile using ‘Locate By Scan.’

  5. They call to clock in with their access code and shift PIN.

  6. They have no eligible jobs—resulting in a clock-in to ‘Unknown Job.’

What is an Unknown Job?

Chronotek intelligently controls which jobs are visible to employees. If employees cannot see an eligible job, they can still clock in under 'Unknown Job.' However, before payroll processing, 'Unknown Job' entries must be reassigned to the correct job.

Common reasons employees clock into 'Unknown Job':

  1. They are not assigned to the Team for that job.

  2. They are not GPS-located at the job

  3. The job has not yet been entered into the system.

  4. The job address is incorrect.

Managing the 'Unknown Job' Setting

While 'Unknown Job' is a useful fallback option, you can enable or disable it at the company or employee level:

  • Company-wide: Company Settings > Work Settings > App Clock In Settings > Unknown Job (On/Off)

  • Individual employee: Employee Profile > Settings tab > Clock In Settings > Disable Clock In to Unknown Job

Our Recommendation

Unless you encounter issues, we recommend keeping the 'Unknown Job' option enabled. Employees clocking into 'Unknown Job' will still have GPS tracks recorded at clock-in and clock-out—which is better than them calling later to say they couldn’t clock in at all.

Note: Since the job is unknown, we can’t track when they leave the job site.

How Your Employee Clocks Into an Unknown Job

Here's what it looks like for your employees when they try to clock in:

Press the button "I need to clock in."

Press the button "I still don't see my job."

In the text box, the employee types information about the job they are working - building name, street address, etc.

Select their Team from the dropdown list and clock in.

Confirm.

They are clocked in!


How Employees Clock Out of an Unknown Job

Now, to Clock Out, press the green time.

Press Clock out.

Confirm.

Unknown Job Clock-ins Flagged on the Time Dashboard

Pro flags time cards with Unknown Jobs on the Time Dashboard because these time cards must be edited to the correct job before closing payroll. Click the red issue tile to find and edit the time card.
