How to log hours outside of a scheduled event

Follow along with the video above to learn how to log hours outside of an event.

Whether you are backlogging hours or volunteering from home, you have multiple ways to record your activity.

Setting a Timer

If a volunteering event is not registered with Civic Champs, simply set a Timer to track your hours.

Note: A timer records your volunteer hours live - meaning it keeps track of the time while you are volunteering. If you are inputting hours you have already done, you will want to scroll down to the Logging Previous Hours section of this article.

To access the timer, first click on Check In on your home screen.

The app will recognize that there are no registered events near you. From here, you can choose to Log Hours (to be discussed later in this article) or set a Timer. Select Timer.

You will then be taken to a screen to search for the organization that you are setting the hours for. Use the dropdown box to select the correct organization. Select Start Timer once you have chosen the organization and want to begin recording your hours.

You will be taken back to the home screen, and the timer will begin. Work for however long you would like, and when you are finished, select the orange Check Out button at the bottom of your screen.

After selecting Check Out, you will be taken to a screen that looks like the following:

Your organization's name should appear at the top. Below that will be the length of time that you have been volunteering, with your Check-In and Check-Out times featured. Double check that those times are correct; if not, select the orange boxes to change them. Underneath the boxes will be a dropdown list for you to select your activity. Finally, if applicable, enter your group name or number. Once you have input and double-checked this information, select Next.

The next screen will ask you for feedback about your experience. It should look similar to this:

If you would like, provide a written reflection about your experience volunteering, and/or select the emoji face that best represents how you are feeling. This can provide valuable feedback to your organization. Once finished, select Finish Check Out.

The volunteering data will now be shown in your Activity Log.

Logging Previous Hours

If you have previously completed a volunteer activity and would like to include it in your Activity Log, you can do so.

There are two ways to log previous hours:

1. From the Home Screen

To go directly from your home screen to logging other hours, first click Check In.

The app will recognize that there are no registered events near you. From here, you can choose to Log Hours or set a Timer. Select Log Hours.

You will be taken to the Log Hours screen.

2. From the Activity Log

You can also log hours from your activity log. To go to your activity log from your home screen, either:

  • Click on the hamburger menu in the upper lefthand corner and select Activity Log

  • Click on My Log next to your profile icon in the middle of the screen

You will be taken to your Activity Log. To log previous hours, select the + icon in the upper righthand corner.

Regardless of how you get there, the Log Hours screen will look like this:

Select the organization you would like to log hours for using the dropdown list at the top of the screen. Then, input the date and duration of the volunteering, and use the Activity dropdown menu to choose the type of activity you performed (here, "Site Host"). Finally, if applicable, enter a group name or number. Once all information is entered correctly, select Add.

The next screen will ask you for feedback about your volunteering experience. It should look similar to this:

If you would like, provide a written reflection about your experience volunteering, and/or select the emoji face that best represents how you are feeling. This can provide valuable feedback to your organization. Once finished, select Save Hours.

The volunteering data will now be shown in your Activity Log.
