Managing Team Access on ClassCover

Managing your school’s ClassCover account just got easier with the ability to invite unlimited school users, with different permissions based on their role. You can manage team access and assign permissions from the ‘Manage Team’ page, located in the top-right corner of the desktop version under your school's name.


Navigating the 'Manage Team' Page

The ‘Manage Team’ page contains two tabs:

  1. Members and Permissions: where you invite staff members and assign them roles and permissions.

  2. Smart Groups: used to create and assign Smart Groups to classroom teachers' or subjects to help streamline the booking process.

Note: Classroom teachers do not get a separate login to ClassCover, so if you need them to have access to manage bookings, you will need to add them via the ‘Members and Permissions’ tab and assign them appropriate permissions.


How to Invite a Team Member

In the ‘Members and Permissions’ tab, you can invite staff members, assign them roles, and set specific permissions.

  1. Click Invite Team on the top-right of the Members and Permissions tab.

  2. Enter their name, email, and mobile number.

  3. Click Add User to send the invite.

  4. Once added, click the ✏️ pencil icon next to their name to assign role and permission.

  5. The invited user will receive a welcome email with their login credentials. They can change their password anytime via Profile Settings in the dropdown menu.


Troubleshooting Invitation Errors

If you encounter an error when trying to invite a team member, it could be due to:

  • A ClassCover profile linked to another school, or

  • A casual staff member account using the same email or phone number.

In these cases:

  • You may need to delete or unlink the existing profile.

  • Alternatively, the user can sign up using a different email address and phone number.


Moving to a New School on ClassCover?

If you're an administrator moving to a new school that also uses ClassCover:

  • Contact our Support Team via chat, support@classcover.com.au, or call 1300 650 442.

  • If you're the RTA at your old school, provide the name and contact details of the new RTA so we can update the accounts.

  • We’ll transfer your access and send a new welcome email.

You'll need to reset your password from the dropdown menu > Profile Settings.


Switching From Admin to Casual (Being Booked)

If you’re changing roles from managing bookings to being booked:

  • Your school admin will need to delete your admin access.

  • If no admin is available, contact our support team and we’ll help delete the profile.

  • You can then create or update your teacher profile using the same email.
