How to track stock with Inventory

Track retail stock levels, get low stock alerts, add stock and review every change.

Written by Rafael

If you sell retail products like detergent, soap or lint rollers, the Inventory page helps you track stock and get alerted before you run out.

Go to More > Inventory to manage your stock. The page has two tabs: Inventory and Activity.

Inventory tab

The Inventory tab opens by default. It lists every product you’re tracking. Filter by Section or Status (All, In Stock, Low Stock or Out of Stock) to find what you need.

How to add a product to inventory

  1. Go to More > Inventory.

  2. Select Add Product.

  3. Choose the Product you want to track.

  4. Enter the Stock Amount, the quantity you have now.

  5. Enter a Low Stock Warning, the quantity that triggers an alert.

  6. Optional: enter a Barcode Number.

  7. Select Add.

When a product’s stock falls below its Low Stock Warning, CleanCloud emails the store admin. Reminder emails continue every two days until the stock is back above the warning level.

How to add stock

  1. Select Add Stock next to the product.

  2. Enter the amount in Quantity to Add.

  3. Save.

Tip: to remove stock instead, enter a negative number in Quantity to Add.

Activity tab

Select Activity at the top of the page to see a log of stock changes across all products, instead of one product at a time. Filter by type and date range.

Each entry shows:

  • The product

  • The type of change, like Stock Added or Stock Used

  • The quantity: negative in orange, positive in green

  • The date and time

  • The staff member who made the change

  • The related order and any note, where there is one

Barcode scanning for inventory

Scanning lets staff add retail products straight to the basket on the New Order page, which speeds up retail checkout.

How to turn on barcode scanning

  1. Go to More > Hardware > Barcode Scanner.

  2. Turn on Use Barcode Scanner.

  3. Select Save.

Note: turning this on can reduce scanning sensitivity, because the system searches across more barcode formats. We recommend it only if you carry a lot of retail products.
