How Voice works

See what Voice, your AI phone agent, can do on a call and when it sends a text.

Written by George

Voice is an AI phone agent built for laundromats and dry cleaners. It answers every call, so no customer is put on hold. To get Voice, see How to set up Voice and route calls.

Who is Voice?

Every call is answered by Grace, your AI phone assistant. She introduces herself by name at the start of each call and speaks in a warm, clear and conversational voice.

  • Accent: Grace uses an accent that matches your store’s region: American for US stores, British for UK stores and Australian for Australian stores.

  • Language: She opens each call in your store’s local language. When a customer speaks another language, Grace switches to it and uses natural regional accents and dialects.

  • Industry knowledge: Grace already understands your services, common customer questions and daily workflows, so she’s ready to help as soon as Voice is activated.

Voice in action

What can Voice do?

Voice works inside CleanCloud, so it can read your data and your schedule. Out of the box, Voice handles these tasks:

  • Schedule pickups and place orders: Voice can set up new customers (including checking that their address is on one of your routes), book pickups, offer express delivery and reorder a returning customer’s “usual”. It only offers pickup days for the customer’s own route, uses the price list for their area and checks for an existing account before creating a new one. Orders follow your store’s auto-accept setting, like your other pickup and delivery orders.

  • Check order statuses: Customers can call to find out where their laundry is. Voice finds the account by phone number, so the customer doesn’t need an order number. It tells them when an order is ready using “today” and “tomorrow” in your store’s local time. If a delivery is running late, Voice apologizes and arranges a callback from your team.

  • Switch in-store orders to delivery: If a customer dropped an order off in store, Voice can switch it to delivery. It offers the delivery days on their route, applies your route’s delivery fee and tells the customer about the change.

  • Take payments: Voice can charge a customer’s saved card for orders on the Ready tab. This works for stores that use CleanCloud Pay or Clearent.

  • Quote prices: Voice quotes prices from your Knowledge Base price table first, then from your product list.

  • Manage subscriptions: Voice can check whether a customer has an active plan and how many items they have left this month. It can also explain available plans and sign up a new subscriber.

  • Reschedule dates: Voice can change or push back a customer’s pickup or delivery date.

  • Save driver instructions: If a customer gives access details, such as a door code or “call before arrival”, Voice saves them to the customer’s profile for future orders, or adds them to the notes of one order.

  • Answer store questions: Voice uses your Knowledge Base to answer general questions about your store. It checks it before telling a customer you don’t offer a service.

When a customer needs a person, Voice arranges a callback and sends your team a summary. See How to review Voice call summaries and callbacks.

Text messages from Voice

Voice can text a customer during a call when a text is easier or safer than speaking the information aloud. Each text uses one SMS credit from your account. You can see your remaining credits at More > Settings > Communication > Notifications.

Voice only offers to text when you have SMS credits. It only texts the phone number on the customer’s account, never the number they’re calling from.

Store address

If a customer asks where the store is, Voice texts the address so they can open it in their maps app.

Saving a card

For stores that use CleanCloud Pay, Voice can text a secure, temporary link to a card registration form. It sends this link when:

  • A customer asks to save a card.

  • Voice creates an account for a first-time caller.

  • A customer without a saved card places an order or asks about an unpaid order.

The link is unique to the customer and expires automatically. Voice never collects or stores card details during the call.
