What do Sequence Triggers Mean?

A list of sequence triggers, what they do, and a few helpful hints for filter suggestions

Here are a list of our current sequence triggers, what they do, and some handy tips for filters that might come in handy if you wish to customize them even more!

Trigger Name: Prospect Sign Up

Action: This sequence will fire when a prospect is first created, either via the “Contact Us” form, bulk import, waiver, or through creating a new prospect contact profile with the “Add New Prospect” button on the menu bar

Recommended Filters
: You can use the “Contact”>”Source”>”Equals” filter to narrow the scope of when the sequence fires.   For example, if you only wanted the sequence to fire if someone signs up via the “Contact Us” form on your website, you would choose “Contact”>”Source”>”Equals”>”Contact Us Form”

Trigger Name: Contact Birthday

Action: This sequence fires when it is a contact’s birthday

Recommended Filters: If you have members of all ages at your gym, but only offer birthday parties to people under 12, you could use the filters “Contact”>”Age”>”Is equal to or less than”>12

Trigger Name: Payment Failure

Action: This sequence will fire when a payment is failed through autopay or if a payment is left as “process manually” for over 7 days (if there is no autopay details linked for the member, or if you do not have autopay this will depend on your manual processing settings. You can check with support at support@clubworx.com if you’d like to change these.)

Recommended Filters: If you’d like a specific payment failure message for a particular membership, you could use the filters “Membership”>”Membership Name”>”Equals”>Membership Name

Trigger Name: First Class Attended

Action: This sequence fires when a member or prospect attends the first class in their lifespan of being a contact

Recommended Filters: If you would like someone attending a particular event to get the message, you can use the filter “Events”>”Event Name”>”Equals”>Event Name

Trigger Name: Member First Activated

Action: This sequence fires when a member first purchases a membership, or when a prospect is converted to a member through the purchase of a membership (via a waiver)

Recommended Filters: An example: If you have a 28 day challenge, and regular memberships, but would like your new 28 day challengers to receive a different welcome email to general new members, you would have 2 “Member First Activated” sequences.  

Your 28 Day Challenge message would have the filter “Memberships”>”Membership name”>”Equals”>28 Day Challenge 

 Your non-28 Day Challenge (general message) would have the filter “Memberships”>”Membership name”>”Does not equal”>28 Day Challenge   

Note: The Member First Activated sequence will not send to any member who has previously held a membership as a member.   You would need to filter both messages, otherwise the general message would also fire for the 28 Day Challenge members (leading to them receiving 2 messages upon their activation)

Trigger Name: Membership Expiry

Action: This sequence will fire when a membership is about to expire

Recommended Filters: You can use the filter “Membership”>”Name”>”Equals”>Membership Name to have this sequence fire for a specific memberships – For example, if you had a 6 week beginner membership and the next step was to purchase a membership for an intermediate program, or in the case of a trial pass where the call to action afterwards is to purchase a memberships. Gyms who use a membership for Registration may also want to use this sequence and filter combination to single out Registration memberships that are expiring.

Trigger Name: Manual Enrolment

Action: This sequence fires when the contact is enrolled into the sequence. There is no Clubworx action to have this sequence fire, except through the contact profile under the “Sequences” tab then clicking “Enrol in sequence”

Recommended Filters: Filters aren’t generally needed for this sequence, as it will only fire if you enrol someone manually into it.

Trigger Name: Booking Marked as Attended

Action: This sequence fires when a member is marked attended for an appointment or event through the calendar, contact profile, or class kiosk mode.

Recommended Filters: If you would like this sequence to only fire in relation to a particular class, you can use the filter “Booking”> ”Event Name”>”Equals”>Event Name  This sequence will fire every time a booking is marked as attended. 

If you only want this to fire on their first attendance, you may want to create a report that only shows members with an attendance count of 1, then use the filter “Is in report” > Report name.

Trigger Name: Booking Marked as Absent

Action: This sequence fires when a member is marked as absent for an appointment or event through their contact profile or class kiosk mode

Recommended Filters: If you would like this sequence to only fire in relation to a particular class, you can use the filter “Booking”> ”Event Name”>”Equals”>Event Name  

This sequence will fire every time a booking is marked as attended. If you only want this to fire on their first attendance, you may want to create a report that only shows members with an attendance count of 1, then use the filter “Is in report” > Report name.

Trigger Name: Member Created

Action: This sequence will fire when a member is first created via the “Add New Member” button, or through a waiver. This differs to the “Member first activated” trigger, as the member does not need to have an active membership for this trigger to fire.

Recommended Filters: If your gym had members of all ages, and you wanted to send a welcome email to only adults, you could use the triggers “Contact”>”Age”>”Is”>”Greater than or equal to”>18

Trigger Name: End of Contact Suspension

Action: This sequence fires when a contact’s suspension is over

Recommended Filters: If you had suspended members for their holidays, and would like to send them a “Welcome back, we hope you enjoyed your holidays” email, you would make the Reason for Suspension Holidays, then use the filter “Suspensions”> ”Reason for Suspension”>”Equals”>Holidays

Trigger Name: NAC Created

Action: This sequence fires when a non-attending contact is created through the “Add new non-attending contact” button, or through a waiver.

Recommended Filters: If you’re using autopayments, you could set up filters to send a message out to NACs who have not filled in their wallet details. This filter would be: “Contact”>”Wallet Details”>”Is not blank"

Trigger Name: Payment Due for Processing

Action: This sequence fires on the due date of a payment

Recommended Filters: If you only want this sequence to fire for a particular payment (for example, an annual registration membership) you would use the filters “Memberships”>”Membership Name”>”Equals”>Membership Name

Trigger Name: First Class Due

Action: This sequence fires when the first class ever for the contact is due

Recommended Filters: You may want to send a message to your junior members to remind them what they will need to bring to class. You can use the filter “Contact”>”Age”>”Is Less than or equal to”>17.   

Have a different message to send to adults? You can use “Contact”>”Age”>”Is Greater than or equal to”>18

Trigger Name: Credit Card Expiry

Action: This sequence fires upon the expiry date of a credit card.
