4 Ways to take the Pain out of Failed Payments

Auto-Reschedule Failed Payments

Payment auto-reschedules allow your Membership payments to be retried automatically when they fail. To set up payment auto-reschedules, you will need to have a payment processor (such as Ezidebit) integrated with your Clubworx account.

The best time to do this is when you are creating your membership plans when setting up your Clubworx account, however if you're doing this further down the track that is no problem! Contact the Clubworx support team to help apply these changes to your existing member's memberships.

Go to Settings> Membership plans and either create or edit your Membership plan.

Scroll down until you see the Auto-reschedules section, and then tick the box to Re-attempt Failed Payments Automatically.

Select the number of days after the payment fails that you would like the payment to be re-attempted.

Select the total number of re-attempts. Please note that for every re-attempt your member could incur a Failed Payment fee. It is better to keep the number of re-attempts conservative.

Once you have finished creating or updating your Membership, use the button at the bottom of the screen to save your changes.



Prevent Members from Dropping in if they are behind on Payments

Members are not able to make bookings through the website calendar or the mobile app if they are behind on payments.

If you use the Class or General kiosk to allow your members to check in and record their attendance, it is very easy for you to prevent members from dropping in without a booking if they are behind on payments.

Go to Settings> Account Profile> Kiosk/Roll call.

In the Class Kiosk section, make sure the box to Allow drop-in bookings when member is behind on payments? is unticked as shown below:

If you use the General Kiosk Mode, in the General Kiosk section ensure the Allow General Kiosk Check In when member is behind on Payments? box is unticked as shown below.

Send a Pre-filled Payment Authority Waiver to make it easy for your contact to update their payment details.

You can send a pre-filled waiver from the Waiver tab on the Contact's profile, or alternatively you can send a prefilled waiver automatically using Sequences.

Automate your Payment Failure messages

The easiest way to get in touch with your members regarding their failed payments, is to automate this process using sequences.

Go to Sequences> + New Sequence.

Select your Sequence Trigger as Payment Failure.

You can create a multi-pronged approach by selecting more than one message type. From the options at the top left hand side, add an email to your sequence, then add an SMS. These two steps can be spread out over a number of hours or days or sent at the same time. In this example we have chosen to send these messages at the same time.

Follow up from your initial messages by sending a Pre-filled payment authority waiver. You can select this sequence payload form the top left hand side. If you are sending two emails as separate steps in your sequence, please remember to put some time in between them (a few hours or one day) so that they are not flagged as spam.

Once you are happy with your sequence, save it and set as active by clicking the toggle to the right hand side on the Sequence pages.
