Setting Up Onboarding Forms

How to create, customize, and assign the form your clients fill out when they first join.

What are Onboarding Forms

The Onboarding Form is the first thing your client completes in the app. It helps you collect the baseline information you need to coach them effectively: from training history and goals to injuries, dietary preferences, lifestyle, and anything else you would typically cover during an intake call.

Use the onboarding form to get a clear picture of your client from the start, so you can tailor their coaching experience to their individual needs.

Creating a New Onboarding Form

  1. Go to Forms in the sidebar

  2. Click + New Form in the top-right corner

  3. Select Onboarding Form

  4. Build your form with the questions and fields you need

  5. Save and set it as active

You can have multiple onboarding forms for different languages or client types - for example one in English for international clients and one in Danish for local ones.

Choosing Your Question Types

For each question you can pick the format that fits best - text, multiple choice, rating, number, date, etc.. Choose what matches how you want the answer to be used later.

For example:

  • Text field for "What are your goals?"

  • Multiple choice for dietary preferences

  • Rating for energy or stress levels - this is quick for the client, easy for you to track over time

  • Number for height, starting weight, or years of training

  • Date for date of birth or injury dates

Required vs. Non-Required

For every question, you can toggle whether it is required or optional. Required questions must be answered before the client can continue - use these for the information you absolutely need (goals, training history, injuries). Leave things optional when they are nice-to-have.

Changing an onboarding form / removing questions you already have

You can go back and edit an existing onboarding form - including removing questions you no longer need.

  1. Go to Forms

  2. Open the onboarding form you want to change

  3. Edit, reorder, or remove questions in the form builder

  4. Save your changes

Duplicating a Form

When you built a great onboarding form and want to reuse it with small changes - for example for a different language or client type - just click the ⋯ menu on any form and select Duplicate.

This creates a copy you can edit without affecting the original.

Useful for:

  • Translating a form to another language

  • Creating a lighter version for test clients or quick intakes

  • Making a specialized version for specific client segments (e.g. PCOS, postpartum, powerlifting)

What the Client Sees

When a client logs into the app for the first time after accepting their payment plan, the onboarding form is the first thing they see. They cannot skip it and they have to complete it before they get access to the rest of the app. This ensures you always have their baseline data before coaching begins.

Can I send a one-off questionnaire to a client?

Not as a separate form type, but there are workarounds:

  1. Second onboarding form: create another onboarding form and use Ask to onboard again on that client (under client Settings → Forms). Previous questionnaire answers are replaced when they re-onboard.

  2. Temporary check-in form: assign a dedicated check-in form only to that client. Only one check-in form can be active at a time, so it replaces their normal check-in until you switch back.

  3. Ask in chat: fastest for a single client; answers stay in the thread.
