Create and edit a payment product

Set up your coaching packages once, and use them every time you sign a new client.

A payment product is a template for one of your coaching packages, e.g. "Online coaching, DKK 900 a month". When you sign a client, you pick the product, and Coachway turns it into an offer for that client. You can still adjust the price, dates and fee for each client without changing the product.

Make sure Stripe is connected first. You can see the connection under Settings → Stripe.

Create a product

  1. Go to Settings → Stripe → Products and click Create product.

  2. Fill in the basics:

    • Name: what the client sees, e.g. "12-week coaching" or "Online coaching monthly".

    • Currency: DKK, NOK, SEK, EUR or GBP. Need another one? Write to us in the chat.

    • Tax rate: the price you enter includes tax. Check your local rules if you're unsure what to use.

    • Description: optional.

  3. Choose how they pay and set the price (see below).

  4. Add a start fee or minimum commitment if you need them.

  5. Check the terms the client will accept.

  6. For monthly products, choose which day they are charged.

  7. Check the preview under What a client would actually pay, then click Create product.

Creating a product does not send anything to anyone or charge anyone. It only becomes an offer when you assign it to a client.

How they pay: explained

Type

What the client pays

Good for

Once

One payment, nothing renews

A fixed program paid upfront, e.g. DKK 2,700 for 12 weeks

Ongoing

Every month until you or the client stops it

Monthly coaching with no end date

Set months

Every month for a fixed number of months (2 to 36), then it stops

A 6-month program paid monthly

For Ongoing and Set months, the price is the monthly price.

Start fee

An optional one-time fee on top of the price, e.g. a DKK 200 onboarding fee. You can add it to all three types. By default it's charged together with the first payment, but you can set a different date for it when you send the offer to a client.

Example: DKK 900 a month and a DKK 200 start fee. The client's first payment is the first month plus DKK 200.

Want an upfront payment followed by monthly payments? Use an Ongoing or Set months product with a start fee.

Also please note that a start fee always comes on top of the price, so an Ongoing or Set months product needs a monthly price above 0. Therefore, do not use starting fee for one time payments. If you want the client to pay the whole program in one go, e.g. 6 months upfront? Create a Once product with the full price instead.

Minimum commitment

For Ongoing and Set months, you can set a minimum number of months the client signs up for, e.g. 3 months. It's shown in the terms the client accepts.

Minimum commitment and number of payments are two separate settings. A Set months product can have 6 payments and a 3-month commitment.

Terms the client accepts

Under Terms they accept, Coachway writes a suggestion based on what you have set up, e.g. "6 months of coaching, DKK 900 a month". You can change the text however you like.

Values in green are filled in automatically for each client, so the terms always match the actual offer. To add one, click Insert value or type {. You can choose from:

  • Product name

  • Price

  • Months

  • Start date

  • Start fee, fee name and fee date

  • Commitment months

When a client accepts, their terms are saved exactly as they saw them. If you change the product later, the terms they already accepted stay the same.

Billing day and preview

For monthly products, you choose which day of the month the client is charged. Under What a client would actually pay, you can pick a start date and see exactly what the client pays and when.

Edit a product

You edit a payment product the same place as you create one.

  1. Go to Settings → Stripe → Products and open the product.

  2. Click Edit product, make your changes and click Save product.

Changes only apply to new clients. Clients who already have the product keep the price and terms they accepted.

You can change the price, description, tax rate and terms. You can't change the currency or how they pay (Once, Ongoing or Set months, including the number of months). For a different type of deal, create a new product.

Stop using a product

You can't delete a product, but you can turn off Can be assigned to clients. The product is then hidden when you add clients, and clients who already have it are not affected.

Only manage your products in Coachway

Never edit, archive or deactivate Coachway products in Stripe. It breaks the setup for every client on that product, and can cause failed payments or start fees charged more than once.

Always make your changes under Settings → Stripe.

If a product has already been archived in Stripe, cancel the client's plan and send a new offer with a product that hasn't been touched in Stripe.

If the product won't save check that:

  • the product has a name of at least 2 characters

  • the price is above 0

  • the start fee is filled in correctly, or removed

  • Set months is between 2 and 36

  • the price isn't below the minimum Stripe allows for that currency
