Where does the money go?
Where does the money go?
Directly to your own Stripe account. Coachway never holds your money. See [Connect Stripe and turn on Apple Pay and Klarna].
What does it cost?
What does it cost?
Coachway takes 2.4% of each payment processed through Coachway, on top of Stripe's own fee. Both are taken automatically before the money reaches you. Example: a client pays DKK 1,000 (incl. VAT). Coachway's fee is DKK 24 and Stripe's fee is about DKK 17, so you receive about DKK 959. You can see the breakdown for each payment in Stripe.
Can my clients pay with Klarna, Apple Pay or MobilePay?

Klarna, Apple Pay, SEPA and other local methods work if they're turned on in your Stripe account. Which ones the client sees depends on their country and device. See Apple Pay and Klarna.

Can I move a client's payment to a later date?
Yes, as long as the invoice is still Planned and in draft. Open the client → Payment → Payment History, click the ⋯ menu on the invoice and choose Reschedule. Pick the new date, or use the +1 Day / +1 Week / +1 Month shortcuts, and click Reschedule Invoice.
The preview shows the old and new date before you confirm.
Only the invoice you reschedule moves. Later invoices in the plan keep their dates.
Why is Add Payment missing on a client?
Why is Add Payment missing on a client?
Add Payment only appears after the current payment plan is fully cancelled. Setting a future cancellation date is not enough - choose Cancel immediately under Cancel all payments. App access stays; then send the new plan and have the client accept the email offer.
Can my clients pay inside the Coachway app?
Can my clients pay inside the Coachway app?
No. Clients pay on the web, not inside the mobile app. When they open your invite link, they accept your offer and add their payment details on a secure web page, and then download the app. Web payment is the approach Apple and Google approve for this. If payments went through the app, the app stores would take a large cut of every payment, so paying on the web means more of the money goes to you. See What your client sees, from invite to payment.
Changing and cancelling
Can I change the price for a client who's already paying?
Can I change the price for a client who's already paying?

How do I change a client's payment plan to a different one?
Cancel the current payment plan for the specific client and then assign the new plan. The client receives an email to accept the new terms.
My client paid another way, or paid double. Can I remove failed payment?
My client paid another way, or paid double. Can I remove failed payment?
Yes, by voiding the invoice by clicking the three dots next to the failed payment. Voiding marks it as no longer owed, so it stops retrying and disappears as a red status.
When something is not correct
The client accepted, but nothing has been charged. Why?
The client accepted, but nothing has been charged. Why?
They probably have not finished adding their payment details. If the Payment tab shows Pending Setup, ask them to complete the setup. See What your client sees, from invite to payment.
A payment failed. What do I do?

How does a client update their card?
How does a client update their card?

I was charged / charged a client a very small amount (e.g. 0,50 kr) and want to change or remove it
I was charged / charged a client a very small amount (e.g. 0,50 kr) and want to change or remove it
Stripe sets a minimum charge per currency. Coachway will not let you charge below that floor for the currency on the payment - so a “tiny” amount is often the coach bumping into that minimum (or an old product/price that was set that low), not a separate mystery fee. To change it:
Settings → Payment - edit the product price if the amount lives on the product
Or open the client → Payment → Customize pricing for this client before sending a new offer
If the small amount already went through: client → Payment → Payment History → ⋯ → refund (full or partial).
You do not need the Stripe Dashboard for the normal Coachway path.
How do I fix a wrong price on pending offer?
How do I fix a wrong price on pending offer?
Before client accepts go to Payment → cancel payment plan --> resend the offer with the correct price and remember to ask the client to accept only the new email, with the new offer.
Does a client ended automatically when their payments finish?
Does a client ended automatically when their payments finish?
No. When a Set months plan takes its last payment, or you cancel a plan, the client's coaching status and app access stay as they are. Some coaches extend the coaching or the payments, so Coachway leaves this to you. Move the client to Ended yourself when the coaching is over. Clients who keep app access for more than 48 hours still count on your Coachway bill. See Pause a client and manage app access.
Refunds and invoices
How do I refund a client?
How do I refund a client?
You can refund the full amount or a partial amount from the Client --> Payment section. Click the ⋯ menu to the right of Payment History and you will get the option to refund the amount. See Failed payments, refunds and invoices.
Where can I see a client's invoices?
Where can I see a client's invoices?
Open the client's profile and go to their Payment --> Payment History. Each payment shows its status and amount, and from the ⋯ menu you can view or download the invoice. If an invoice link has expired, the invoice is still available in your Stripe account
Can clients see or download their own payment receipts / invoices?
Can clients see or download their own payment receipts / invoices?
No: But coaches can always view and download invoices from the client's Payment → Payment History (⋯ menu).
In the client app, clients can update their payment method under Profile → Update payment method.
I refunded a client but Coachway still shows the payment as not refunded. Why?
I refunded a client but Coachway still shows the payment as not refunded. Why?
Stripe pays refunds out of your available Stripe balance. If there is not enough balance when you refund, Stripe marks the refund as pending, and Coachway keeps showing the payment as not refunded until Stripe completes it. You don't need to do anything: the refund goes through automatically once enough funds are available on your Stripe account. You can check the refund status in your Stripe Dashboard.

What does the amount on Insights show?
What does the amount on Insights show?
Insights does not show each client’s monthly subscription price. The amount next to a client is the total of paid invoices over the last 30 days. If a client paid a different amount, had a prorated invoice, or paid more/less than once in that window, the number can differ from their usual monthly price. Check the client’s Payment tab for the plan price and invoice history.
The client's bank says "free trial". Is something wrong?
The client's bank says "free trial". Is something wrong?
That is Stripe's wording, not an extra free period. Your client pays the first payment right away, and it covers the first period. The recurring subscription then starts on the next billing date, and Stripe shows the time until then as a "trial". The wording can't be changed, so it helps to tell your client up front that the first payment covers their first month.
What do the client status colors mean ($)?
What do the client status colors mean ($)?
Each client in your list has a color that shows their current payment status:
🟢 Green - Active / Paid
The client's payment plan is active and their payments are up to date.
🔴 Red - Failed payment
The client's latest payment did not go through. This usually happens when a card has expired, been cancelled, or has insufficient funds. Reach out to the client and ask them to update their payment details.
🔵 Blue - Approved, awaiting first payment
The client has accepted their payment plan, but the first payment has not been charged. Once the first payment goes through, the status turns green.
How long is a payment link valid for?
How long is a payment link valid for?
It is valid for 12 months.
Can I delete a payment product?
Can I delete a payment product?
No. Coachway (and Stripe) do not allow deleting payment products. Open Settings → Stripe, open the product, and set it to inactive. Inactive products stay in your list for history but no longer show up when you assign a payment plan.
Can clients pay if they don't have a bank account in my country?
Can clients pay if they don't have a bank account in my country?
Yes. Clients pay with a card, so they don't need a local bank account. A card from any country works. The payment is charged in the currency set on your payment product (for example DKK), so the client's bank may add a small currency conversion fee
Why are some of my products marked Legacy?
Why are some of my products marked Legacy?
Legacy products were made with the old payment setup, where you built the invoice list by hand. Clients who already have a Legacy product keep paying exactly as before, but Legacy products can't be picked for new clients. To keep offering the same deal, create it again as a new product: Once for a single upfront payment, Set months for a fixed number of monthly payments that stops by itself, or Ongoing for monthly until cancelled.
