Extracting data from Cogniss Insights

Learn how to extract and download your app's data directly from Cogniss Insights.

Overview

The Data Extract feature in Cogniss Insights allows App Admins and Platform Admins to easily download app data as CSV files. App creators can select the type of data they need, choose a date range, and export data such as user information, activity responses, question responses, and event logs.


Steps for extracting data from Cogniss insights

  1. Navigate to Cogniss Insights from the menu located next to your profile icon.

  2. Choose the app you want to extract data from.

  3. Select the Data Extract tab to access available export options.

  4. Select the type of data extract you require from the available options.

  5. Select the date range for the data you want to include in the extract.

  6. Select whether to use your local timestamp or UTC timestamp for the exported data.

  7. Click Download Export to download the data extract as a CSV file.

Who can access Cogniss Insights and the Data extract menu?

Cogniss Insights is an open product to everyone. If your app users have the Insights URL, then they can access Cogniss Insights but are only able to view their own activity history. However, users who hold a platform or app administrator role can view all of the app user data.

The Data Extract menu is only available/visible for platform and app admin roles. Your users can’t see the menu and aren't able to download your app's data.

Two-Factor Authentication (2FA) Requirement

To enhance security, downloading CSV data exports from Cogniss Insights now requires two-factor authentication (2FA). This extra layer of protction ensures that only verified users can access sensitive app user data.

Setting up 2FA for the first time

If you haen't set up 2FA for your Cogniss account before, you'll be prompted to do so when you attempt to download data.

  1. Please download your preferred authenticator app to your mobile (such as Google Authenticator, Microsoft Authenticator, or Twilio Authy).

  2. In your authenticator app, select the option to 'scan a QR code' and scan the QR code displayed on the Cogniss page.

  3. Enter the six-digit code generated in your authenticator app into Cogniss to complete setup.

  4. Once verified, you’ll be able to access and download your data exports.

If you already have 2FA set up

Cogniss will simply prompt you to enter your six-digit authentication code from your existing authenticator app

If you’re unable to locate your 2FA code or have lost access to your authenticator app, please contact the Cogniss team. We can help reset your 2FA so you can regain access securely.

Types of data extracts available in Cogniss Insights

This feature supports the most commonly requested data extracts - app User Data, Activity Responses, Question Responses, and Event Logs.

  1. App User Data

    • For App Admin: it includes User id, Created date, Display name, last Login date, and app custom profile data

    • For Platform Admin, it adds username, email and platform-level profile data on top of what App admin can extract (User id, Created date, Display name, last Login date, app custom profile data)

    • Anonymous data for App admin & Platform admin roles: removes any user-identifying data types from the data extract

      • Anonymous data for App Admin: It includes User id, Created date, Last login date and app custom profile data

      • Anonymous data for Platform Admin: it adds Platform level profile data on the top of what App Admin can get (User id, Created date, Last login date and app custom profile data)

  2. Activity responses

    • It includes Response id, User id, subject id, Subject name, activity id, activity Name, Activity date, and completion

  3. Question responses

    • It includes User id, Activity id, Activity name, Topic name, question id, question label, question response time, question response created date, question responses

  4. Event Logs

    • It includes User id, event date, type, action and label

    • Event logs are composed of different types of raw data such as when users navigate menus, when users search for a label, or even when admins download and extract data. It can be some custom behavior event track.

To ensure security, maintain system performance, users can perform up to five data exports within any one-hour period.
