Description: Set up an inspection that repeats on a schedule for a site, choose how often it recurs, and decide who gets assigned.
Overview
A recurring inspection tells ComplianceGo to create a new inspection for a site automatically, on a repeating schedule. Once it's set up, you don't have to remember to create anything — the inspection appears on the site as Due when its window opens, and the people you've chosen are notified.
This article covers setting up a Recurring inspection. To set one up that fires after rain instead of on a calendar, see Setting Up a Weather-Triggered Inspection.
Before You Begin
You need the Editor role — at either site or organization level — on the site you're scheduling for.
The inspection form you want to use must already exist for your organization.
Opening the Site's Inspection List
Open the site you want to schedule an inspection for.
Under Assignments and Management, click Inspections and Weather Events. You'll see Current Assigned Inspections and Weather Events. Everything already scheduled sits under Scheduled Inspections and Weather Events, split into a Weather group and a Scheduled group. Each entry shows its form name and how often it repeats, like Recurring: Monthly. Two more groups sit below it: Non-Scheduled inspections (the one-off ones, added with Add as Non-Recurring) and Administrative Inspections. Both show a count and are usually empty.
Click + Inspection.
Choosing the Inspection Form
The Select Inspection Form page lists every form available to your organization, grouped by category.
Find the form you want. Click the eye icon to preview a form before you commit to it.
Click the + icon next to the form.
Choose Add as Scheduled Inspections, Weather Events, and Controls.
The other option, Add as Non-Recurring, creates a one-off inspection that isn't on a schedule. Use it when you need a single inspection now rather than a repeating one.
📝 The form is fixed when the inspection is scheduled. To use a different form, remove the scheduled inspection and add a new one. (Which version of that form gets used is decided later — see What Happens Next.)
Setting the Trigger and Frequency
You're now on the Add New Inspection page.
Under Inspection Trigger, leave Recurring selected. (The other option, Weather Event, is covered in its own article.)
Open the Inspection Frequency (Required) dropdown and choose how often the inspection should repeat. It starts on Weekly On Any Day.
The frequency you choose also sets how long the inspection stays open:
If you choose | The inspection is due |
Daily | That day |
Every Business Day | That business day |
Weekly On Specific Day | On one particular day each week |
Weekly On Any Day | Any time during that week |
Bi-Weekly | On a particular day, every two weeks |
Bi-Weekly On Any Day | Any time within that two-week period |
Monthly | Any time that month |
Quarterly | Any time that quarter |
Annually | Any time that year |
The full list also includes One Time, Multiple Days Per Week, Every Four Calendar Days, Every Four Business Days, Every Five Business Days, Every Two Months, Every Three Months, Every Four Months, Every Six Months, Semi-Annually, Every 2 Years, and Every 5 Years.
💡 Weekly On Specific Day gives the inspector a single named day to complete the inspection. Weekly On Any Day leaves it open for the whole week.
Once saved, the frequency appears under the inspection on the Inspections and Weather Events list — shown there in sentence case, like Recurring: Weekly on any day.
If you chose Multiple Days Per Week, an Inspection due day(s) section appears — tick each day of the week the inspection should be due.
Setting the Start Day
Set Inspection Start Day (Required) to the date the schedule should begin.
The first inspection is created based on this date and the frequency you picked — not immediately.
Choosing What to Include and Who Is Assigned
These options are all optional.
Weather History — turn this on to include weather since the last inspection with the inspection report.
7 Day Forecast — turn this on to include the 7-day forecast from the day of the inspection in the report. This only appears if your organization has the 7-day forecast feature enabled.
Allow Simultaneous Inspections — turn this on to let more than one occurrence of this inspection be open at the same time. Leave it off if you want each one completed before the next opens.
Under Assigned Individuals (Optional), choose the inspectors this inspection should go to.
📝 Only people with an inspector role on this site can be assigned. Inspector and Backup Inspector are granted per site, never at organization level, so the list here only ever shows people who hold one on this site. An organization Editor can still carry out an inspection without appearing in this list.
Setting the Reminder Notifications
Three reminder settings sit near the bottom of the page. Each takes a number and a unit.
Inspection Lateness Pre-Warning Notifications — warn recipients this far before the inspection goes late. Choose Days, Weeks, or Months.
Time Since Last Inspection Warning Notifications — warn if this much time passes without an inspection. Choose Days, Weeks, or Months.
Action Item Lateness Pre-Warning Notifications — warn this many Days before an action item from this inspection goes late.
These reminders go to the people set up on the site's Notification Recipients list, not to everyone in your organization.
Saving the Schedule
Click Add.
You're returned to Inspections and Weather Events, and the new inspection appears in the Scheduled group with its frequency shown underneath.
What Happens Next
ComplianceGo runs a scheduling job every morning. For each scheduled inspection, it checks whether a new occurrence is due to open today.
When one is:
A new inspection is created for the site and appears in the site's Due group.
A notification goes out to everyone on the site's Notification Recipients list who is set up to receive inspection-due notifications.
The inspection stays Due until it's started, completed, or its window closes.
⚠️ If a window closes without the inspection being started, it becomes Missed when the next occurrence opens, and it stays on the record for reporting. Whether it can still be started then depends on an organization-level setting that allows late inspections: where that is off, which is the default, the older occurrence is closed out; where it is on, it stays startable. See Understanding Inspection Statuses for the full picture.
The form version is locked when an inspector starts the inspection — not when you schedule it. If someone edits the form between now and then, the inspector gets the version that was live at the moment they pressed start. That version stays attached even if the inspection is later reopened and edited, so the report always regenerates correctly.
FAQ
Q: I saved the schedule but no inspection appeared.
A: Occurrences are created by an overnight job, not on save, and the first one only opens when its window does. Check Inspection Start Day — if it's in the future, nothing appears until then.
Q: The person I want to assign isn't in the list.
A: They don't hold Inspector or Backup Inspector on this site — those are the only roles this list draws from. Add one on the site's People & Roles page, then edit the inspection. (An organization Editor can already complete an inspection on the site without holding one — but only a site inspector role puts somebody in this list.)
Q: The inspection came due but nobody was notified.
A: The site's notification recipients aren't set up for inspection-due notifications. Open Notification Recipients on the site and check who's subscribed.
Q: I picked the wrong form. Can I swap it?
A: No — the form can't be changed on a saved inspection. Remove the scheduled inspection and add a new one with the right form.
Q: I don't see the 7 Day Forecast option.
A: Your organization doesn't have that feature enabled. Contact ComplianceGo support about enabling it.
Q: Which frequency gives my inspector the most time?
A: The "any day" options — Weekly On Any Day, Bi-Weekly On Any Day, Monthly, Quarterly and Annually — leave the inspection open for the whole period. Weekly On Specific Day and Bi-Weekly tie it to a single day.
