For the compliance process to be effective, it is essential that employees actively engage with the system, as they play a key role in collaborating with and fulfilling the obligations and activities related to the Compliance team.
In this article, we will explore the tools available to employees and their main functions.
Dashboard
The Dashboard is the employee’s home screen, designed to centralize all their needs in one place. Upon logging into the system, employees can view, at a glance, everything that requires attention: documents pending approval, training to be completed, forms to fill out, assigned tasks, open activities, and reports to submit to the Compliance team.
To get a broader view of each area, use the "Show All" button within each card, or access it directly via the menu on the left side of the screen.
⚠️ The first tab in the Dashboard will display the name of the person in charge of the Compliance Channel; this is the contact designated by the system administrators to assist employees whenever they have questions or encounter difficulties.
Document Acceptances
This field is intended for employees to help validate documents assigned to them. Whenever a document is sent for approval, it will appear in the "Document Acceptances" section, organized into the following tabs:
Pending: Campaigns still awaiting signature.
Accepted: Approved document campaigns.
Refused: Rejected approvals.
All: All campaigns, regardless of their status.
⚠️ As soon as the document is signed, its status is automatically updated from 'Open' to 'Done'.
Key Events
Key Events are records created in the system that can be added by the employee themselves or shared with team members for collaboration purposes.
Whenever an employee needs to request, document, or communicate information to the Compliance team, they can create an event in two ways: by clicking "Create" in the dashboard shortcuts, or by going directly to 'Key Events' the section.
⚠️ Events can be created from virtually any screen in the system, for example, a document approval, a training session, or a form-all of which become event files that can be tracked, commented on, and used as a repository of evidence.
Checklist
This section lists all the checklists assigned to the employee, that is, all the action plans created by team members for which the employee has been assigned responsibility.
When you click on a task title, a side panel will open showing the due date, description, and a discussion field for exchanging information about the task.
When you're done, simply click "Finish task."
Training Courses
This section lists all the training courses that the member has assigned to the employee, including both pending and completed courses.
Once a training course is completed, the corresponding certificate becomes available for download under "Download Certificate."
⚠️ It may take a few minutes for the system to process the certificate, but once it’s ready, it will be available both in the employee’s view and automatically to members.
Tasks
The tasks is one of the most important sections in an employee’s daily routine, as it requires constant attention and recurring actions. In this section, employees can find all the activities assigned to them as the person in charge. It is crucial that they track progress, add evidence, and stay on top of the deadlines assigned to each task.
By clicking on the title of an activity, the employee will find all the information needed to complete it, and if they have questions, they can reach out to the team using the "Discussion" field within each activity’s file.
Compliance Library
The Compliance Library contains all documents shared by system members, such as policies, manuals, internal procedures, and more. Authorized documents are accessible to employees, allowing them to consult them whenever necessary.
Forms
Collaboration on forms takes place by filling them out. Employees are not permitted to create new forms, but they can fill out those that have been requested or that are available for response at any time. Learn more here.
If there is a form pending completion, it will appear in the "Pendings" section, and once completed, the employee can access several options in the "Actions" field, such as:
View: Access the completed form.
Print: Generate a copy of the form.
Download Answers: Download the submitted responses in PDF format.
Help Center
This is the last icon in the employee menu, which allows employees to access information and expand their knowledge of the system on their own, without having to rely so heavily on your team.
