How do I revoke an employee's access to the system?

When an employee leaves the company, certain procedures must be followed to ensure that their access to the system is completely revoked and that the responsibilities assigned to them are transferred, ensuring that no pending tasks go unfinished.

In the following article, we'll walk you through the step-by-step process for removing an employee's access, preserving their entire history in the system, and assigning a new person responsible for their future tasks.


How do I add a termination date?

In the menu on the left side of the screen, go to the "Employees" section > "All Employees." Then, search for the employee's name in the "Current Team" list and click the "Edit" button at the end of the line.

Once you're in the employee's profile, enter the termination date in the "Exit Date" field and click "Confirm" at the bottom of the screen to save.

Once this is done, the employee will automatically be moved from the "Current Team" list to the "Ex-Employees" tab, losing their access to the system. However, all of their comments, files, and activity history in Compliasset will remain saved.


Future Assignee

If this employee is replaced, that is, if responsibilities are transferred to a new employee, you can designate a new assignee to take over the tasks that were assigned to the employee who has left.

However, before learning how to perform this function, please note the following rules for assigning a future assignee:

  1. The new assignee will take over the tasks related to the departed employee’s Activities, Obligations, and Events.

  2. The assignment of the future assignee applies only to items with the status 'Open.'

  3. When the termination date is in the future, the transfer of responsibilities will occur automatically at the end of the termination date.

  4. For terminations with a retroactive date or on the same day, the assignment will take effect immediately.

While still in the former employee's profile, look for the "Future Assignee" section and select the employee who will take over their pending tasks.

To save, remember to click "Confirm" at the bottom of the screen.
