Creating your Winemaker’s Choice Clubs

Create a winemaker’s choice package

From your Corksy admin portal, go to Wine Clubs → [Select Club Tier] → Create a Package

  • Choose Winemaker’s Choice Package

  • Select the Payment Processing Date

  • Add the specific wines you want to include in the package

⚠️ In a winemaker’s choice club, members cannot customize or edit their package selections.

After confirming all package details, select Save to create a draft.


Open the package

⚠️ Once the package is opened, you cannot edit:

  • Selected products

  • Quantities

  • Price

  • Processing date

Before selecting Open, confirm all information is accurate.
Opening the package will immediately send the Winemaker’s Choice Package Opened Notification to all members in that tier.


Customize the notification

To edit the notification:

  • Go to Settings → Notifications

  • Scroll to the Wine Club section

  • Click into the Package Opened notification

  • Customize the Subject Line and Body

⚠️ Do not remove bracketed fields (e.g., {{club_name}}) — these are required to populate club-specific info.

You can also enable or disable this notification from the same screen.


Member experience

Once members receive the email and click the link:

  • They will be prompted to log in

  • Taken directly to the My Wine Clubs page
    From this page, they can:

  • View the wines selected for them

  • Update payment method

  • Update shipping address

  • Switch from shipping to pickup (or vice versa)

Members cannot change the wine selection in a Winemaker’s Choice club.


Admin view and order processing

From the admin portal:

  • Navigate back into the Open Package

  • Refresh to view member confirmations

  • Wine club discounts are automatically applied once the order is confirmed

To process an individual order:

  • Select the order

  • Click Actions → Close & Process Order


Individual processing

To process an order individually:

  • Select the order

  • Click Actions → Close & Process Order

  • Once processed, the order moves to Paid & Unfulfilled

  • It will appear in the Orders tab, ready for fulfillment

💡 Automatic wine club discounts will apply during processing. If you manually apply an additional discount, it will stack on top of the automatic one already associated with the club.


Bulk processing

To bulk process up to 1000 orders:

  • Use filters to select the desired orders

  • Click Close & Process Orders

Flat shipping rates (e.g., $20) will automatically apply to orders unless overridden.

To override shipping:

  • Go to Wine Clubs → [Tier] → Edit

  • Change the Shipping Rate to $0

  • This allows Corksy to pull in manual or live rates set up under Shipping & Delivery Settings

💡 Automatic wine club discounts will apply during processing. If you manually apply an additional discount, it will stack on top of the automatic one already associated with the club.


Shipping rate adjustments

Within the Open Package, you can:

  • Click into any order’s shipping rate

  • Override with:

    • Manual rates

    • Live rates (e.g., FedEx, UPS, GLS)


Bulk fulfillment

After orders are processed:
Go to Orders → Bulk Fulfillment → Create Fulfillment

  • Select Wine Club Orders

  • Choose how to fulfill:

    • Create Shipping Labels via integration

    • Export and Generate Shipping Labels Externally (CSV download for 3rd-party fulfillment)

When generating labels:

  • Assign bottle quantities and packaging preferences

  • Select shipping method, label size, image type, and ship date

  • Click Buy Labels → Confirm

Once completed:

  • Click into the Fulfillment

  • Select all orders

  • Bulk print or download shipping labels and packing slips


Point of sale fulfillment

For in-person pickups:

  • Navigate to Orders → POS

  • By default, the view filters to point-of-sale orders

  • Use the search bar to locate a member

  • Click into the order

  • Select Fulfill → Fulfill Items to complete the pickup
