Understanding Guests in CourtReserve

INTRODUCTION

In CourtReserve, guests can be thought of in two main ways. This article explains both so you can understand how guests function in the system.


1. True Guests

A true guest is someone who does not have a CourtReserve account but is added by an existing member when making a reservation or registering for an event.

Example:
A member registers for an event that allows one guest. During registration, they enter the guest’s first and last name and phone number. This guest does not have to create an account in CourtReserve, though the club may want to have them signed a guest waiver upon arrival.

This approach is best for occasional visitors or friends of members who do not need a full CourtReserve account.

Note: There are two main places in CourtReserve where you can set up true guest allowances. Detailed articles are linked below, but here’s a high-level summary:

1. Reservations - Guest settings are managed under each Reservation Type.

  • Navigate to SETTINGS > RESERVATION SETTINGS > Reservation Types.

  • Here you’ll find the guest-related fields as follows per Reservation Type:

2. Events - Guest allowances can be configured when creating a new event (EVENTS > CREATE EVENT) or by editing an existing event date (EVENTS > LIST). See screen shot here:

For both reservations and events, if the booking requires upfront payment, the registering member must also pay the guest fee at the time of booking.

Note on Team-Based Event Registration – Guest Partner Inclusion:
Clubs can allow non-members to participate as guest partners when paired with a member registering through the member portal. Admins also have the option to register two guests together. If the partner is a guest, the registering player is responsible for paying both fees during registration.


2. Guest Memberships

Another way clubs manage guests is by creating a guest membership type (sometimes called a non-member membership). These accounts are useful for individuals you want to more frequently engage with your club but you want to offer limited access or specific benefits.

If clubs choose to do so, guest memberships can be configured to do such things as:

  • Allow limited permissions and access.

  • Apply different costs or fees.

  • Permit the guest member to bring their own “true guests.” Example below in Membership settings:

Key benefit: Guest members must create a CourtReserve account and complete any required waivers, ensuring that the club has proper records and legal coverage.

Summary

  • True Guests → No CourtReserve account, added by a member during a reservation or event registration.

  • Guest or Non-Member Memberships → A limited membership type for non-members, with defined permissions and benefits.

Both options give clubs flexibility in how they manage visitors to their club, whether it’s casual drop-ins or more regular visitors.
