What is CourtReserve Pulse?

Beta Features

Some Pulse features are currently in Beta, meaning they are actively being tested and refined before a full release. They are not available to all organizations. Access is limited to clubs in CourtReserve's Early Access Groups.

The following Pulse features are currently in Beta:

  • Insights tab, including Pulse IQ insight cards on the Home tab

  • Ask Pulse tab, including the Ask Pulse usage card on the Settings tab

  • CourtReserve Connector, on the Settings tab

If your club doesn’t have access to the Insights or Ask Pulse tab, or to the CourtReserve Connector, it doesn’t appear in Pulse.

To request access, contact the CourtReserve customer support team via live chat or email.

Introduction

Feature Summary: CourtReserve Pulse is a built-in analytics dashboard that gives club administrators a real-time view of how their club is performing across financials, court usage, member engagement, public bookings, player demographics, and instructor activity. All key metrics are consolidated in one place, eliminating the need to run and compare multiple reports.

Use Cases:

  • Monitor revenue trends, refunds, and outstanding balances without pulling individual financial reports

  • Identify peak booking times and underperforming courts to inform scheduling decisions

  • Track member retention, growth, and activity levels over any selected time period

  • Measure revenue and new players coming in through Public Booking and Reserve with Google

  • Understand the age, skill level, and geographic distribution of your player base

  • Review instructor session volume, revenue contribution, and utilization at a glance

  • Act on Pulse IQ insights, such as winning back quiet members, and track the results

Overview

CourtReserve Pulse is organized into seven metric tabs, plus the Insights, Ask Pulse, and Settings tabs. Each metric tab focuses on a distinct area of club operations, and the metric tabs share a common date range selector so you can analyze any time period consistently across every view.

Data in the Pulse dashboard is displayed through a combination of KPI (Key Performance Indicator) cards, trend charts, tables, heatmaps, and distribution charts.

Each KPI card shows the current value for the selected period alongside a percentage change compared to a matching earlier period, so you can quickly spot trends moving in the right direction or areas that need attention.

Each metric tab includes an Export option in the top right corner. You can download a PDF for a print-ready snapshot of the tab, or a CSV as a ZIP file of per-widget data for further analysis in a spreadsheet.

System users can also customize which metrics appear on each metric tab and which metric tabs are visible using the Settings tab.

How Trend Comparisons Work

The percentage on each KPI card compares your selected dates with a matching earlier period. Which period Pulse uses depends on the Interval you pick:

  • Yesterday, Last 7 Days, Last 30 Days, and Last 90 Days: the same number of days just before.

  • This Month: the same days of last month. For example, September 1 to 29 compares with August 1 to 29.

  • Last Month: the whole month before it.

  • Year-to-Date (YTD): the same dates last year.

  • Previous Year: the year before it.

  • Custom Range: the same number of days just before.

On the Home, Financials, Utilization, Engagement, Public, and Instructors tabs, a line under the date picker shows the exact dates, for example "Trends compare to Jan 1 – Sep 29, 2025". Hover over the info icon on any card to see them too.

Use the arrows on either side of the dates to move back or forward one period. The Interval field names the period you're viewing, for example July 2026 or 2025. From Year-to-Date (YTD), the back arrow goes to the full previous year.

If your club doesn't have enough history for the comparison, the trend percentages are hidden and the line under the date picker says how many days of history are needed.

Data Refresh & Availability

Pulse dashboard data refreshes nightly at 2 AM ET. Because your data is processed as part of this nightly refresh, the most recent date available in Pulse is always yesterday. Today's activity has not been processed yet.

Each tab displays a data freshness footer at the bottom of the page showing:

  • Data Through - The exact date and time of the most recent data included in your metrics

  • Refreshes Nightly - The scheduled refresh time (2 AM ET)

  • Last Refresh - The date and time the most recent refresh completed

Note: Pulse does not query live transactions, so today's bookings will not appear until the next nightly refresh. Check the footer on any tab for the exact cutoff.

On release, Pulse data is available starting January 1, 2025. Additional historical data will be added over time to build toward full data coverage.

Trend percentages need data for the period they compare with. Year-to-Date (YTD) and Previous Year compare with a year earlier, so they need data going back that far. Until your club has it, those trend percentages are hidden, and the line under the date picker says how many days of history are needed.

Navigation

To access CourtReserve Pulse:

  1. Log in to your CourtReserve admin panel.

  2. In the left navigation menu, select Pulse.

  3. The dashboard opens to the Home tab by default, if it is enabled in your Settings tab visibility.

  4. Use the tab navigation at the top to move between Home, Financials, Utilization, Engagement, Public, Demographics, Instructors, Insights, Ask Pulse, and Settings. Tabs your club doesn’t have access to, or that are hidden on the Settings tab, don’t appear.

Permissions

All full admins in CourtReserve have access to CourtReserve Pulse by default.

For sub-admins, access is controlled by a set of per-user permissions. When the master permission is enabled, the Pulse link appears in the sub-admin's left navigation menu. When disabled, it does not appear. These settings are off by default for all sub-admins.

To enable Pulse access for a sub-admin:

  1. Navigate to Organization Settings > System Users > Sub-Admins.

  2. Select the sub-admin you want to update and click Edit.

  3. Check the Can View CourtReserve Pulse box to give the sub-admin access to the dashboard. The tab boxes appear below it once it’s checked.

  4. Under Can View CourtReserve Pulse, check the box for each metric tab you want the sub-admin to see. To let them see Pulse IQ insights, also check Insights (Beta). Only tabs your club has access to appear in this list.

  5. Save your changes.

Note: The Public tab box is off for all sub-admins, including those who already have Pulse access. To give a sub-admin access to the Public tab, check its box manually.

The Insights and Ask Pulse tabs don’t have their own boxes. A sub-admin with Can View CourtReserve Pulse and at least one metric tab checked can see them. Ask Pulse only answers questions using data from the tabs the sub-admin can see.

Note: Tab-level permissions let you control which specific tabs a sub-admin can see. A sub-admin only sees the tabs checked for their account, in addition to any tab visibility settings configured on the Settings tab. A sub-admin with Can View CourtReserve Pulse but no tabs checked sees a message that they don’t have access to any CourtReserve Pulse tabs.

Overview of Each Dashboard Tab

The tabs below are each summarized across three dimensions: what data they show, why that data is relevant to how your club operates, and an example of how you might act on it. The action examples are a starting point. How you use the data will depend on your club’s goals and priorities. In the screenshots below, specific data values have been blurred for privacy.

For a full breakdown of every metric and chart, see the individual tab articles in the Explore Each Dashboard Tab section below.

Home

What It Shows:

  • Gross Sales - Total revenue collected during the selected period

  • Court Utilization - Percentage of bookable court hours with a booking during this period

  • Active Players - Unique players with booking or transaction activity during this period, regardless of membership status

  • Total Players - All CourtReserve account holders as of the selected end date

  • Total Sessions - Total non-canceled sessions taught by instructors during the selected period

Every figure is pulled directly from its owning tab, so nothing is recalculated or shown differently in two places. A This period at a glance panel sorts what changed into Needs your attention and Working well, and a Where revenue came from bar breaks down gross sales by category. For clubs with the Insights tab, Pulse IQ insight cards also appear on Home.

Cards and sections are permission-aware, so anything outside your access is left out rather than shown as zero.

Why It Matters: Home gives you a single, at-a-glance snapshot of overall club performance, and a first read on where money is coming from, before you dive into the detail available on the other tabs.

What You Can Act On: Scan Needs your attention and Working well before a staff meeting or owner call instead of opening and comparing several tabs yourself. Use the revenue breakdown to spot how concentrated your income is in one category and whether that's a risk worth addressing.

Financials

What It Shows:

  • Gross Sales - Total revenue collected during the selected period

  • Total Payment Volume - Total amount processed across all payment methods

  • Revenue per Player - Average revenue per active player

  • Refunds & Discounts - Total refunds and credits issued during the period

  • Outstanding Invoices - Total outstanding member balances

A Sales Breakdown panel breaks down gross sales, refunds, discounts, and taxes to show net sales. A Sales Mix chart shows the split between recurring membership fees and transactional revenue. A Sales by Category table shows how revenue is distributed across event categories, membership fees, reservation types, package sales, point of sale, and miscellaneous fees.

Below these, four additional panels give a closer look at specific revenue areas: a Payment Method Breakdown by payment type, a Revenue per Player breakdown by membership segment, a Refunds & Discounts Summary split by cash and non-cash refunds, and a Balance Summary showing overdue amounts, invoice counts, and an aging breakdown.

Why It Matters: Revenue health is the foundation of club operations. This tab gives you a complete picture of where money is coming from, where gaps exist, and how your current period compares to a matching earlier period.

What You Can Act On: Identify revenue categories that are underperforming. Spot refund or credit trends that may signal pricing or experience issues. Follow up on outstanding invoices before they accumulate.

Utilization

What It Shows:

  • Court Utilization - Percentage of available court hours that were booked during the period

  • Avg Bookings per Court/Day - Average number of daily bookings across all courts

  • Available Hours Unsold - Total bookable court hours with no booking during the period

  • Cancellation Rate - Percentage of bookings that were cancelled

  • Revenue per Utilized Hour - Booking revenue earned for each hour of court time that was booked

A Court Utilization Trend chart displays daily utilization over time. A Court Performance table ranks each court by utilization rate and revenue, with a filter for booking type. A Revenue Efficiency card measures booking revenue against court capacity. A Booking Heatmap shows hourly booking volume by day of the week, with your most and least utilized hours listed below it.

Why It Matters: Empty courts are lost revenue. This tab shows you exactly when and where capacity is going unfilled so you can make informed decisions about scheduling, programming, and pricing.

What You Can Act On: Fill slow time slots with targeted promotions or new programming. Identify courts that are consistently underbooked. Use cancellation rate trends to evaluate your cancellation policy.

Engagement

What It Shows:

  • Active Members - Unique members with an active paid membership during the period

  • Member Retention - Percentage of members active at period start who remained active at period end

  • Avg Activities per Member - Average number of activities per active paid member during the period

  • Member Growth Rate - New members joining during the period as a percentage of the starting member base

  • Active Players - Unique players with any booking or transaction during the period, regardless of membership status

  • Repeat Booking Rate - Percentage of current-period active players who also booked in the prior period

  • Avg Activities per Player - Average activities per active player during the period

  • New Players - Players whose first-ever CourtReserve booking or transaction occurred during the period

A Players by Spend table ranks all players by total spend and allows filtering between active players and inactive members.

Why It Matters: Engagement is an early indicator of retention. Members and players who are booking regularly are less likely to churn. This tab helps you understand whether your club is growing, holding steady, or losing momentum.

What You Can Act On: Reach out to members showing a drop in activity before they cancel. Identify your highest-value players and recognize or reward them. Track whether new player acquisition is keeping pace with member attrition.

Public

What It Shows:

  • Revenue - Everything paid on public bookings by people who booked without a membership

  • Public Bookings - Paid reservations and event registrations made by people who booked without a membership

  • New People Reached - Distinct people behind those public bookings

  • Became Members - People whose first visit was a public booking and who later bought a membership

  • Revenue per Person - Public booking revenue divided by the number of distinct people who booked

A Revenue from Players Who Were Not Your Members panel splits public revenue between Reserve with Google and your Direct Public Booking URL. A Public Booking, Day by Day chart tracks public bookings, revenue, court hours, and event registrations over time. Panels compare public booking with member activity across bookings, court hours, and event spots, and a Where the Journey Leaks panel shows where players drop off between starting a checkout and paying. A Who Booked table lists every public player, sorted by spend.

If Public Booking is turned off for your club, the tab instead shows your unsold court hours and open event spots, the capacity Public Booking could help fill.

Why It Matters: Every public booking is business your club would not otherwise have. Public players fill court time and event spots members didn’t use, and they are your clearest pipeline of future members.

What You Can Act On: Compare how much business comes through Reserve with Google versus your own link, and promote the source that works. Find where players abandon checkout and fix friction in the booking flow. Reach out to repeat public bookers with a membership offer.

Demographics

What It Shows:

  • Total Players - Unique players with activity in the selected range

  • Median Rating - Median DUPR or skill level across all players

  • Median Age - Median age of all players

  • Gender Split - Gender distribution of players

A Rating Distribution chart shows your player base distributed across selected rating skill levels. An Age and Gender Distribution chart breaks down players by age group and gender side by side. A Player Density Map plots your players geographically, and a Top Zip Codes table ranks the areas your players are coming from by total players, new players, and percentage of your overall base.

Why It Matters: Programming and marketing work best when they match who your players actually are. This tab gives you a data-backed picture of your player base so you can make decisions grounded in reality rather than assumption.

What You Can Act On: Adjust event and league programming to better match the skill levels most represented in your club. Identify age or gender gaps in participation and consider targeted outreach. Use geographic data to focus marketing efforts on nearby zip codes with growth potential.

Instructors

What It Shows:

  • Total Sessions - Total sessions across all instructors during the period

  • Total Revenue - Total revenue generated from all instructor sessions

  • Utilization Rate - Booked hours versus available instructor hours

  • Unique Players - Members with at least one session during the period

An Instructor Demand by Day of Week chart shows when instructor hours and sessions are concentrated throughout the week. A Session Mix by Type chart breaks down total instructor hours between events and lessons. An Instructors by Hours Taught table ranks each instructor by lesson hours, event hours, reservation hours, total hours, utilization percentage, revenue earned, and payments collected.

Why It Matters: Instructors are a revenue driver and a key part of the member experience. This tab gives you visibility into how your teaching staff is being used and whether their capacity is being put to work.

What You Can Act On: Identify instructors with low utilization and explore whether scheduling changes or additional promotion could increase their bookings. Use the day-of-week demand chart to align instructor availability with peak interest periods. Review revenue per instructor to inform compensation or contract decisions.

Insights (Beta)

An All insights table lists every insight Pulse IQ has surfaced for your club, such as regular players who have gone quiet or overdue balances. For each insight, it shows tags for its type and related tab, its status, when it was surfaced, a follow-up summary of what’s happened since, and whether it was helpful. Use the search bar, status filter, and type filter to find specific insights, and select View Audit Log to see a history of actions taken.

Pulse IQ uses fixed rules, not AI, and only shows an insight when the numbers clearly call for it. Many clubs won’t see insights often, and that’s normal.

Why It Matters: Insights point you to specific players or balances that need attention, so you don’t have to spot the pattern yourself.

What You Can Act On: Build a list from an insight, such as a win-back email to quiet players, then track the result on the Insights tab and under Closing the loop on the Home tab.

Learn more here.

Ask Pulse (Beta)

What It Shows: Ask Pulse is a chat assistant that answers questions about your club’s Pulse data in plain language. Your chats are saved, so you can return to an earlier conversation.

Ask Pulse reads the same nightly data the dashboard shows, through a read-only connection. It can’t change anything, and it never sees player names. It also only answers using data from the tabs you have permission to see.

Why It Matters: Some questions don’t fit neatly into a single tab. Ask Pulse lets you get an answer without building a report or comparing tabs yourself.

What You Can Act On: Ask a quick question before a meeting, such as which courts were busiest last month or how revenue compares to the same time last year, and get an answer in seconds.

Note: Everyone at your club shares one monthly allowance for Ask Pulse, based on your club’s Pulse plan. When it’s used up, Ask Pulse pauses until it resets, unless your club has opted in to extra usage. The rest of Pulse keeps working.

Settings

The Settings tab gives system users control over what appears in Pulse. A Search KPIs bar at the top lets you quickly find a specific metric across all tabs.

Each metric tab (Home, Financials, Utilization, Engagement, Public, Demographics, and Instructors) is listed as an expandable row. Each row shows a count of how many KPI cards in that tab are currently visible (for example, "2/5" or "4/4") and a toggle on the right to show or hide that tab in the Pulse navigation.

Click a row to expand it and reveal individual toggles for each KPI card in that tab, letting you choose exactly which metrics are visible.

Note: The Insights (Beta) box is off by default. It shows insights and suggested actions from every Pulse tab, even tabs not checked for the sub-admin. Turning it off hides the Insights tab and insight cards across Pulse. The Ask Pulse tab doesn’t have its own box. A sub-admin with Can View CourtReserve Pulse and at least one metric tab checked can see it.

The Settings tab also includes:

  • CourtReserve Connector (Beta) - A server URL you can add to ChatGPT, Claude, or another AI assistant to connect it to your club’s Pulse data. Assistants receive totals and aggregates only. Individual member names never leave CourtReserve. Learn more here.

  • Ask Pulse usage (Beta) - How much of your club’s shared monthly Ask Pulse allowance has been used, and when it resets.

Learn more here.

Enterprise API Access

Metrics from the Pulse dashboard are also available through the CourtReserve Enterprise API, so multi-location operators can build their own reporting on top of Pulse metrics. The API covers the same figures admins see across the Pulse tabs, including financials, court utilization, member engagement, player demographics, and instructor performance.

The Enterprise API pulls from the same nightly Pulse build that powers the dashboard, so figures reflect the most recent completed snapshot rather than live activity. A companion endpoint reports when that snapshot was last refreshed, so you can confirm how current the data is before using it. Trend values from the API compare the selected dates with the same number of days just before them, or with the month before when you select a whole calendar month.

Note: Enterprise API access to Pulse metrics is only available to Enterprise customers.

CourtReserve Connector (Beta)

The CourtReserve Connector lets system users ask questions about your club’s Pulse data directly in Claude, ChatGPT, and other AI assistants. It works like Ask Pulse, but questions count toward each user’s own AI account limits instead of your club’s Ask Pulse allowance.

The connector is read-only, and your AI assistant only receives totals and aggregates, never member names. Each system user connects their own account, and their assistant can only see what they can see in Pulse.

Admins can view, limit, or revoke connections from the CourtReserve Connector setup page, or by clicking Manage connected assistants on the Pulse Settings tab.

For setup steps, see Beta Status: Pulse CourtReserve Connector.
