CourtReserve Pulse: Settings Tab

Customize Which Tabs and Metrics Are Visible in Your Pulse Dashboard

Written by Mari Bern

Introduction

Feature Summary: The Settings tab in CourtReserve Pulse gives administrators control over what appears on the dashboard. You can hide entire tabs from the Pulse navigation, control which KPI cards are visible within each tab, and manage Pulse features such as the CourtReserve Connector and Ask Pulse usage. These settings let you tailor Pulse to reflect how your club actually operates.

Use Cases:

  • Hide the Instructors tab entirely if your club does not have teaching staff

  • Hide individual KPIs that are not relevant to your club's current reporting needs

  • Hide the Home tab if your club prefers to land directly on a specific tab, such as Financials

  • Simplify the dashboard for clubs that only want to focus on a subset of metrics

  • Search for a specific KPI by name instead of exapnding every tab group

  • Copy your club’s server URL to connect Claude, ChatGPT, or another AI assistant to your Pulse data

  • Check how much of your club’s monthly Ask Pulse allowance has been used

Beta Features

Some features on the Settings tab are currently in Beta, meaning they are actively being tested and refined before a full release. They are not available to all organizations. Access is limited to clubs in CourtReserve’s Early Access Groups.

The following Settings tab features are currently in Beta:

  • CourtReserve Connector card

  • Ask Pulse usage card

If your club doesn’t have access to a Beta feature, it doesn’t appear on the Settings tab.

To request access, contact the CourtReserve customer support team via live chat or email.

OVERVIEW

The top of the Settings tab shows cards for Pulse features your club has access to, such as the CourtReserve Connector and Ask Pulse usage. Below them, the Settings tab lists seven Pulse dashboard tabs (Home, Financials, Utilization, Engagement, Public, Demographics, and Instructors) as individual groups.

Each group shows:

  • The tab name and a count of visible KPIs out of the total available (for example, Financials 2/5 means two of five Financials KPIs are currently shown)

  • A short description of what the toggle controls

  • A toggle on the right, which controls whether that tab appears in the Pulse navigation bar

  • An expand arrow on the left, which reveals the individual KPI toggles within that tab

Note: The Settings tab controls which tabs and KPIs are available on the Pulse dashboard for your entire club. All full admins can see the Pulse dashboard.

Sub-admins need the Insights (Beta) permission to see the Insights tab and Pulse IQ insights. It shows insights from every Pulse tab, even tabs that aren’t checked for them. The Ask Pulse tab has no checkbox of its own, so sub-admins with Can View CourtReserve Pulse see it.

For sub-admins, access is controlled by a set of per-user permissions. When the master permission is enabled, the Pulse link appears in the sub-admin's left navigation menu. When disabled, it does not appear. These settings are off by default for all sub-admins. Tab-level permissions let you control which specific tabs a sub-admin can see. A sub-admin only sees the tabs checked for their account, in addition to any tab visibility settings configured on the Settings tab. The Insights and Ask Pulse tabs have no checkbox of their own. Sub-admins with Can View CourtReserve Pulse see them. The Public tab box is off for all sub-admins, including those who already have Pulse access, so check it manually to give a sub-admin access to the Public tab.

Navigation

  1. Log in to your CourtReserve admin panel.

  2. In the left navigation menu, select Pulse.

  3. Select the Settings tab.

CourtReserve Connector (Beta)

The CourtReserve Connector card holds your club’s server URL. The CourtReserve Connector lets system users ask questions about your club’s Pulse data in Claude, ChatGPT, or another AI assistant. To connect, add the server URL to your AI assistant as a custom connector, then sign in to CourtReserve when the assistant asks. The assistant can answer questions about metrics, courts, revenue, players, demographics, instructors, public bookings, overdue balances, and insights, and nothing else.

  • Server URL: Click the copy icon next to the URL to copy it, then add it to your AI assistant as a custom connector.

  • Manage connected assistants: Opens the CourtReserve Connector setup page, where you can view, limit, or revoke connections. Only full admins see this link.

Assistants receive totals and aggregates only. Individual member names never leave CourtReserve.

This card only appears for clubs with the CourtReserve Connector. For setup steps, see Beta Status: Pulse CourtReserve Connector.

Ask Pulse Usage (Beta)

The Ask Pulse usage card shows how much of your club’s monthly Ask Pulse allowance has been used. Everyone at your club shares one allowance.

  • Used this month: A bar and percentage showing how much of the allowance has been used, e.g. 40%.

  • Questions left and reset date: Below the bar, an estimate of how many questions are left and when the allowance resets, e.g. “About 90 questions left this month. Resets on Nov 5.”

The number of questions left is an estimate, since longer answers use more of the allowance. When the allowance is used up, Ask Pulse pauses until it resets. The rest of Pulse keeps working.

Note: Questions asked through the CourtReserve Connector don’t count toward this allowance.

Tab Visibility

Each tab group has a toggle on the right that controls whether that tab appears in the Pulse navigation bar for all users.

  • Toggling a tab off removes it from the navigation bar entirely.

  • Toggling it back on restores it to the navigation bar immediately.

For example: A club with no teaching staff or private lesson offerings can toggle off Instructors so the tab no longer appears in the navigation bar for any admin or sub-admin.

Examples of When to Turn a Tab Off

Instructors — The most common tab to hide. If your club does not have teaching staff, does not offer private lessons, and does not use the instructor scheduling features in CourtReserve, the Instructors tab will show little to no data. Hiding it keeps the dashboard focused on the areas that actually reflect your club's operations. Example shown here:

Demographics — Some smaller clubs or newer CourtReserve accounts may not yet have enough player data to make the Demographics tab meaningful. Hiding it temporarily until your player base grows is a reasonable choice.

Utilization — Clubs that operate primarily as membership-only facilities with no open court reservation system may find court utilization metrics less actionable. Hiding this tab keeps the focus on membership and engagement data instead.

For example: A recreational club with 50 members, no paid instructors, and a single court may choose to enable only Financials and Engagement — keeping the dashboard tightly focused on revenue and member activity, the two metrics most relevant to how they operate day-to-day.

KPI Visibility by Tab

Click the expand arrow next to any tab group to reveal its individual KPI card toggles. Turning a KPI off removes its card from that tab's dashboard view without affecting the tab's visibility in the navigation. In this example, rather than displaying all five Financials KPI cards, the system user chose to display only Gross Sales and Total Payment Volume.

Example:

Examples of When to Hide Individual KPI Metrics

Hiding individual metrics is useful when a specific KPI is not actionable or meaningful for your club's setup, even if the rest of the tab is relevant.

Outstanding Invoices: If your club does not use membership billing or recurring invoicing, this metric will always show $0 and adds no value. Hiding it keeps the Financials tab cleaner.

Median Rating: If the majority of your players do not have ratings, the Median Rating card reflects a small and potentially unrepresentative sample. Hiding it until your rating coverage improves keeps the Demographics KPI row focused on more complete data.

Member Growth Rate: Very small clubs with a stable, long-term membership base may find this metric less useful on a month-to-month basis. Hiding it reduces noise on the Engagement tab for clubs where membership count rarely changes.

Public tab cards: The Public group has nine KPI toggles. Five control the cards shown when Public Booking is on, and four control the cards shown when Public Booking is off: Court hours offered, Unsold court hours, Unsold share, and Open event spots. If your club doesn’t use Public Booking, you only need to review the last four.

For example: A club that hides Outstanding Invoices would see Financials 4/5 on that tab’s group. The count is a quick way to see which tabs have been customized without expanding each one.

Search KPIs

A search bar at the top of the page lets you find a specific KPI by name across all tab groups without expanding each one individually.

Data Freshness

A footer below the Settings tab shows when the displayed data was last updated:

  • Data Through - The most recent date and time included in the tab data

  • Refreshes Nightly - The scheduled time each night when the data updates, shown in ET

  • Last Refresh - The actual date and time of the most recent completed data refresh
