Create a Family and Add Members

INTRODUCTION

Feature Summary: Add existing members to a new Family.

Use Cases: System users can help related individuals enjoy the club experience by creating a Family and assigning roles (e.g. primary or child).


SETUP REQUIREMENTS

Create a Family with the First Member

The first step is to create a family with one member.

  1. Log in to the admin dashboard.

  2. Go to the side menu and click MEMBERS > SEARCH.

  3. Enter the Member's name in the search bar.

  4. Click the Edit button.

  5. On the member’s profile page, click the Family tab.

    • Click the Family field and search for the family name.

    • If no match appears, click Add New Family.

Important:

Adding a member to a family does not require assigning a Family Membership. Members can be linked together as a family while still holding individual memberships. In the screenshots below, you’ll see an example of adding a Family Membership, but these fields can remain blank if the individual will not be part of a Family Membership type.

Additionally, when adding members to a family and assigning a Family Membership, any members who currently hold an Individual Membership may need to have their individual memberships canceled so they are included only under the Family Membership, if that is the intended setup.

Individual memberships remain active on a player’s account and will override any Family Membership. If the goal is for the player to follow the same restrictions as the rest of the family, their individual membership must be manually canceled.

In the Create Family popup window:

  1. Family Name: Adjust the name if needed.

  2. Family ID: Leave this field blank—CourtReserve automatically generates this number.

  3. Family Membership Plan: Select a plan only if this family will be assigned a Family Membership.

    • Note: If you are adding members to a family without assigning a Family Membership, leave this field blank.

  4. Payment Frequency: Displays only if a Family Membership is selected.

  5. Membership Start Date and Next Payment Date: These fields display only if a Family Membership is selected and can be adjusted if needed.

  6. Create a Billing Cycle between START DATE and NEXT PAYMENT DATE: This field displays only when a relevant Family Membership is selected. Enable it if needed to adjust the billing cycle based on prorated membership fees.

  7. Click Save Changes.

After saving, click the Family Role field and select the appropriate role (typically Primary if this member will manage the family account). Then click Save Changes.


Add an Additional Member to the Family

Next, add a Member to the new Family.

  1. Go to the side menu and click MEMBERS > SEARCH.

  2. Enter the Member's name in the search bar.

  3. Click the Edit button.

On Member's Profile page:

  1. Click the Family tab.

  2. Click the Family field and search for the family name.

  3. Select the matching family record.

  4. Finally, set the family role by clicking the Family Role field and choosing the appropriate option.

  5. Click Save Changes.


Review the Family

CourtReserve links the member to the family, and their family details will now appear under the Family tab. If additional family members need to be added, the system user can do so using the Add New Family Member button.


ADMIN PERSPECTIVE

System users can verify the new family on the dashboard. Go to the side menu and click the MEMBERS > FAMILIES option, where CourtReserve will display the newly created family in the table.
